POSITION SPECIFICS

The Asset Management Specialist supports the administration and accountability of university capital assets, including movable equipment. This role assists in maintaining accurate asset records, supporting inventory processes, and ensuring compliance with university policies, sponsored research requirements, and applicable regulatory standards. The Specialist works closely with academic departments, administrative units, and central offices.Key Responsibilities
  • Assist with tagging and tracking university capital assets such as equipment and furnishings
  • Support campus-wide physical inventory efforts by verifying asset location, condition, and records
  • Maintain and update asset information in university systems and databases
  • Assist with processing asset transactions including acquisitions, transfers, modifications, and disposals
  • Review purchase orders, procurement card transactions, and internal documentation for asset classification and entry
  • Verify ownership classifications (university-owned, grant-funded, or government property) and maintain required documentation
  • Support compliance with university policies, federal regulations, and sponsor requirements related to capital assets
  • Prepare routine reports for departments, central administration, and audit requests
  • Identify discrepancies during inventory or record review and escalate to senior staff for resolution
  • Provide customer service and guidance to academic and administrative units on asset procedures
  • Assist with audit preparation by compiling documentation and responding to data requests
  • May have to travel to commonwealth campuses to conduct inventories

MINIMUM EDUCATION, WORK EXPERIENCE & REQUIRED CERTIFICATIONS

Associate Degree 2+ years of relevant experience; or an equivalent combination of education and experience accepted Required Certifications: None

SALARY & BENEFITS

The salary range for this position, including all possible grades, is $44,628.00 - $64,668.00.
