Job Summary:

The Business Logistics Coordinator (Administrative Officer III) serves as the operational backbone for executive leadership, utilizing deep institutional knowledge to field daily operational minutia, protect executive strategy time, and optimize elevated event execution. This position acts as the primary
operational air traffic controller for the executive suite, ensuring seamless administrative flow, rigorous compliance with state statutory records and meeting laws, end-to-end contract lifecycle tracking, and proactive accounts receivable coordination.
This position may offer the ability to work remotely, within Arizona, based upon the department's business needs and continual meeting of expected performance measures.

Across our many agencies, boards, and commissions, many State employees participate in the State's Remote Work Program and are able to work remotely in their homes, in offices, and in hoteling spaces. All work, including remote work, should be performed within Arizona unless an exception is properly authorized in advance.

Job Duties:

Leadership Logistics & Public Engagement: Coordinates executive calendars for the Executive Director and Deputy Directors; manages the preparation, legal posting, and public distribution of official Board notices per State of Arizona Open Meeting Laws; and triages high-volume public correspondence and handles official records verification/retention and administrative flow.
Revenue Tracking & Financial Coordination (Accounts Receivable): Manages incoming revenue intake, tracking, and reconciliation; coordinates flat event billing, prepares invoices, and reviews/audits Etix ticketing reports to deliver real-time priority revenue data to leadership while communicating proactively with Accounting.
Contract Lifecycle Management: Manages the standardized routing, technical review, completion tracking, and accessible retention of all AESF agreements from submission through final signatures
Cross-Departmental Coordination: Serves as the primary operational bridge between Accounting, Marketing, and the Events teams to clear logistical bottlenecks, streamline workflows, and reduce per-event costs.

Knowledge, Skills & Abilities (KSAs):

Knowledge of:
Deep institutional knowledge of agency operations;
State of Arizona Open Meeting Laws and legal posting requirements;
Official state records retention and verification standards;
Accounts receivable administration and event billing practices;
Contract routing frameworks.
Skills in:
High-volume correspondence triage and administrative infrastructure coordination;
Advanced executive calendar management;
Financial tracking, invoice preparation, and box office/ticket auditing platforms (Etix);
Cross-departmental communication and operational problem-solving.
Abilities to:
Act as an operational "air traffic controller" shielding leadership from routine daily minutia;
Clear logistical bottlenecks and streamline workflows across diverse internal teams (Accounting, Marketing, Events);
Manage a high volume of deadlines under strict compliance timelines.

Selective Preference(s):

AA or BA in related field;
Minimum of 8 years of deep institutional knowledge in an administrative, operational coordination, or executive support capacity.
