Administrative Assistant, Business Development - Contractor

The Administrative Assistant, Business Development - Contractor reports to the Senior Vice President of Business Development. This role provides administrative and logistical support to multiple sub-departments in the Business Development team, ensuring efficient coordination of meetings, projects, and day-to-day operations.

Responsibilities:

  • Coordinate and schedule meetings for multiple sub-departments within the Business Development team
  • Assist with meeting logistics for in-person, virtual, and hybrid meetings (room reservations, video conferencing setup, catering, and materials) at both client's Bellevue location and Everett location(s)
  • Assist in the preparation and distribution of meeting agendas, presentations, and supporting documents in advance
  • Assist with tracking action items, follow-ups, and deadlines resulting from meetings
  • Serve as a central administrative point of contact for all supported sub-departments
  • Assist with administrative support including data entry, document preparation, filing, and records management.
  • Coordinate with the Meeting and Events Coordinator to facilitate planning for and execution of required technology, hospitality, and space/logistics for meetings.
  • Assist with cross-departmental communication and information sharing.
  • Assist with ad hoc administrative tasks as assigned

Key Qualifications and Skills:

  • Associates Degree in business or communications, business administration, or a related field with 4 years minimum of experience OR a Bachelor's degree in business or communications, business administration, or a related field with 3 years of experience.
  • Years of experience must be in Administrative Support, Project Coordination, including experience working in business development, commercial support, and/or project coordination.
  • Highly organized and detail-oriented; high degree of accuracy.
  • Ability to work under tight deadlines and self-prioritize work.
  • Adaptable and comfortable operating in a fast-paced environment
  • Proficiency with Microsoft Office Suite (Excel, PowerPoint, Word).
  • Strong understanding of the sensitive nature of working in the executive office and have good judgement, problem solving skills and maintain the highest levels of confidentiality and integrity.
  • Ability to report and track deliverables to manager on a regular and consistent basis.
  • Must project a positive, collaborative, professional demeanor at all times.
  • Must have excellent written communications, interpersonal skills, and the ability to interact positively with all levels within the organization including senior executives, trustees, donors, and peers.
  • Team player who can assess when to act autonomously and when to coordinate with others or seek leadership input.
  • The successful candidate will possess a high degree of trust and integrity, communicate openly and display respect and a desire to foster teamwork.
