The IT Department is ready to hire a Business Automation Specialist to join our team.
We are looking for compassionate, energetic, and dependable individuals who support Child Crisis Arizona's mission by improving operational effectiveness, reducing manual processes, enhancing employee productivity, and ensuring technology solutions align with organizational goals.
The Business Automation Specialist is responsible for supporting the organization's technology infrastructure while leading the adoption, development, business automation, and digital transformation initiatives.
This position serves as a bridge between Information Technology and business operations by identifying opportunities to improve efficiency through Microsoft Copilot, Copilot Studio, Power Automate, Power Platform solutions, AI Agents, and other approved technologies. The role provides direct technical support to staff while designing automated workflows, developing AI-driven solutions, creating user training resources, and promoting responsible AI adoption across the agency.
ESSENTIAL FUNCTIONS
Automation Solutions Development
  • Design, develop, implement, and maintain automated workflows using Microsoft Power Automate and related technologies.
  • Create and manage AI Agents using Microsoft Copilot Studio and other approved platforms.
  • Identify opportunities to reduce manual processes through automation and AI-enhanced solutions.
  • Collaborate with departments to analyze business processes and recommend workflow improvements.
  • Build automated notification, approval, reporting, and document management processes.
  • Monitor, maintain, and troubleshoot automated solutions.
  • Test and validate automation solutions prior to deployment.
  • Continuously evaluate emerging AI technologies and recommend practical applications.

Copilot & AI Enablement
  • Support agency-wide adoption of Microsoft Copilot and approved AI tools.
  • Develop and maintain department-specific Copilot prompts, templates, and use cases.
  • Train staff on the effective, responsible, and secure use of AI technologies.
  • Assist with AI governance efforts, including compliance with organizational policies and security standards.
  • Maintain documentation of approved AI tools, workflows, and business applications.
  • Research and evaluate emerging technologies that may benefit the organization.
  • Serve as an internal AI resource and advisor to staff and leadership.

Business Process Improvement
  • Work with departments to identify inefficiencies and opportunities for automation.
  • Develop solutions that improve productivity, consistency, and service delivery.
  • Assist with SharePoint-based process improvements and document management initiatives.
  • Support data organization efforts that improve AI search and knowledge retrieval capabilities.
  • Participate in digital transformation projects that support strategic organizational goals.

Technical Support & Help Desk Services
  • Provide Tier 1 and Tier 2 technical support for desktops, laptops, mobile devices, printers, audiovisual equipment, and related technologies.
  • Install, configure, maintain, and troubleshoot hardware and software systems.
  • Support Microsoft 365 applications including Outlook, Word, Excel, Teams, SharePoint, and Copilot.
  • Respond to and resolve assigned IT support tickets in accordance with department service standards.
  • Assist with onboarding and offboarding activities including account setup, equipment deployment, and system access.
  • Monitor system issues and escalate complex problems as necessary.
  • Maintain accurate records of support requests, resolutions, and technical documentation.
  • Travel to agency locations to provide onsite support, training, and technical assistance.

Training & Documentation
  • Create user guides, knowledge base articles, and training materials.
  • Conduct individual and group training sessions related to AI, automation, and technology solutions.
  • Develop educational resources supporting responsible AI usage.
  • Maintain technical documentation for workflows, AI agents, and IT systems.
  • Promote technology best practices across the organization.

Collaboration & Project Participation
  • Collaborate with IT, Human Resources, Programs, Finance, Development, and Leadership teams.
  • Participate in technology planning and strategic initiatives.
  • Assist with cybersecurity awareness initiatives related to AI and emerging technologies.
  • Support organization-wide technology and process improvement projects.
  • Contribute to continuous improvement efforts within the IT department.

EDUCATION AND EXPERIENCE
Required
  • Associate's Degree in Information Technology, Computer Science, Business Technology, or related field, or equivalent combination of education and experience.
  • Minimum two years of experience in technical support, help desk operations, business systems administration, workflow automation, or related technology roles.
  • Experience supporting Microsoft 365 environments.
  • Experience with Microsoft Power Automate, Power Platform, Copilot, AI tools, or business process automation technologies.
  • Strong analytical and problem-solving skills.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple projects and priorities.
  • Strong initiative, creativity, and adaptability.
  • Supportive of the mission and values of Child Crisis Arizona.

Preferred
  • Bachelor's Degree in Information Technology, Business Information Systems, Computer Science, or related field.
  • Experience with Microsoft Copilot Studio.
  • Experience developing Agents or conversational chatbot solutions.
  • Experience with SharePoint administration and document management.
  • Experience with workflow design and business process mapping.
