POSITION SUMMARY
We are looking for a detail-driven Event Planner to lead the planning, coordination, and execution of company events while supporting our broader marketing efforts. This role blends logistical precision with creative marketing skills, covering everything from booth setup and teardown to brochure design and outbound communications. The ideal candidate is highly organized, an excellent communicator, and comfortable managing multiple projects and deadlines at once.
KEY RESPONSIBILITIES
  • Plan, coordinate, and execute company events from concept through completion, including trade shows, conferences, client events, and internal functions
  • Set up and tear down event booths, displays, and signage, ensuring a polished and professional presentation at every event
  • Manage all event logistics, including venue selection, vendor coordination, budgets, timelines, and on-site troubleshooting
  • Book travel, lodging, and dining reservations for team members attending events
  • Develop creative concepts and themes for events and marketing campaigns that align with brand standards
  • Assist in designing and producing brochures, flyers, signage, and other marketing collateral
  • Draft and send outbound communications, including email campaigns, invitations, and follow-up correspondence
  • Maintain event calendars, checklists, and budgets, keeping all stakeholders informed of timelines and deliverables
  • Coordinate with internal departments and outside vendors to secure materials, equipment, and services needed for each event
  • Track event performance and gather feedback to identify opportunities for improvement
  • Prioritize and manage multiple projects simultaneously in a fast-paced environment
  • Represent the company professionally at events, engaging with clients, partners, and vendors as needed
QUALIFICATIONS
  • Associates degree in marketing, communications, hospitality, or a related field, or equivalent work experience
  • Two or more years of experience in event planning, marketing, or a related coordination role
  • Exceptional organizational skills with the ability to manage multiple tasks and deadlines at once
  • Strong written and oral communication skills, with an eye for detail and accuracy
  • Demonstrated creativity in event design, marketing materials, and brand presentation
  • Ability to lift and transport event materials and assist with physical booth setup and teardown
  • Proficiency with design and communication tools such as Canva, Adobe Creative Suite, Microsoft Office, and email marketing platforms
  • Comfortable working independently as well as collaboratively within a team
  • Valid driver's license and the ability to travel to event locations as needed
