The Intellectual Property Administrator is responsible for supporting Nite Ize's intellectual property portfolio and global brand protection efforts. This role coordinates the administration and maintenance of patents, trademarks, copyrights, and other intellectual property matters; works with outside counsel and third-party vendors to track filings, deadlines, renewals, registrations, and enforcement activities; and, supports the protection of Nite Ize intellectual property and products from infringement and counterfeiting. The Intellectual Property Administrator also maintains related records and reporting systems and provides general legal administrative support to the Legal Department.


The position for Intellectual Property Administrator is expected to be open until October 2, 2026.


Key Responsibilities Intellectual Property Administrator :

  • Coordinates patent, trademark, copyright, and other intellectual property matters with outside legal counsel, including providing requested information and documentation, and monitoring the status of pending matters.
  • Maintains accurate and organized internal intellectual property databases, records, and tracking systems for filings, deadlines, renewals, registrations, submissions, annuity payment, and other portfolio activity, and ensures appropriate follow-up on outstanding matters.
  • Works with outside counsel and external vendors to monitor and coordinate brand protection activities, such as reviewing and monitoring online marketplaces, websites, paid advertisements, social media, mobile applications, and other channels for knockoffs, counterfeits, unauthorized sellers, intellectual property infringements, and other potential brand violations.
  • Investigates intellectual property complaints and assists in gathering sufficient information and documentation required for escalated matters.
  • Assists with research, development, and implementation of intellectual property protection and enforcement strategies.
  • Reviews and maintains internal electronic files for product development, intellectual property portfolios, legal correspondence, and various agreements.
  • Coordinates meetings, status updates, and ongoing communications with outside counsel, vendors, and other external legal resources.
  • Screens incoming messages and requests from outside counsel, vendors, inventors, and other internal and external stakeholders and ensures appropriate follow-up.
  • Tracks and manages information related to departmental legal budget, including review and analysis of outside counsel invoices, legal spend, and vendor activity.
  • Works cross-departmentally to review and research Authorized Reseller applications and other intellectual property or brand protection matters.
  • Participates in weekly team meetings to review updates, prioritize outstanding matters, propose changes, and identify gaps, risks, or issues.
  • Provides general legal and administrative support to the Legal Operations Manager and Chief Legal Officer, including correspondence, meeting coordination, task follow-through, and special projects.


Requirements

3+ years of experience with intellectual property administration, legal administration, brand protection, patent and trademark enforcement, or similar activities.

Experience working with patents, trademarks, copyrights, intellectual property filings, or online brand protection preferred.

Strong organizational skills with the ability to manage multiple ongoing matters, priorities, and deadlines simultaneously.

Proven strong analytical experience with the ability to develop and refine processes and approaches.

Attention to detail with the ability to maintain accurate, organized, and accessible legal and intellectual property records.

Professional and polite demeanor with a collaborative, team-oriented approach.

Must be able to manage confidential data, materials, and highly sensitive documents with extreme discretion.

Sense of urgency and ability to manage complex tasks and follow through on details for cross-functional teams.

Comfortable working with outside attorneys, third-party vendors, and internal business teams.

Communicates effectively and efficiently with various departments and outside service providers.

Proficiency with Microsoft Office and experience with tracking, database, or matter-management systems.

Experience with online marketplace or brand protection enforcement platforms is preferred.

Must be able to communicate fluently (read, write and speak) in English.

Work Hours: Hybrid schedule with on-site and work from home days. This is a regular, benefits-eligible position.


Hiring Compensation for Intellectual Property Administrator : Hiring pay range: $31.00 to $37.50 per hour DOQ.
