Job description

We are seeking a detail-oriented and dependable Office Manager to join our team. This is a combination role that focuses on office management, bookkeeping, and administrative responsibilities year-round. The ideal candidate will have strong organizational skills, attention to detail, and the ability to manage multiple priorities while ensuring smooth business operations.

This is a full-time, year-round, salaried position with standard working hours being 9:00 am-5:00 pm, with holidays off as well as flexible PTO and sick time to allow for work-life balance. From February 1 through April 15, during tax season, you will be expected to work 6 days a week (50 hours/week estimated) to serve seasonal demand.

Key Responsibilities:

Tax Season (typically January – April):

  • Data Input of client Tax Documents
  • Review and verify source documents to ensure accuracy and compliance with tax laws and regulations.
  • Communicate with clients to gather necessary tax information and documentation.
  • Assist with tax filing deadlines and ensure timely submission of returns.

Year-Round Office Management:

  • Oversee daily office operations, including filing, recordkeeping, and supply management.
  • Manage accounts receivable and accounts payable, including invoicing, billing, and bank reconciliations.
  • Maintain accurate and up-to-date financial records for office and client accounts.
  • Assist in payroll preparation and basic financial reporting as needed.
  • Support the owner with scheduling, emails, correspondence, and client communication.
  • Act as a dispatcher to prioritize client needs and ensure timely responses and follow-ups.
  • Maintain confidentiality of sensitive financial and client information at all times.

Qualifications:

  • Experience preparing individual and small business tax returns (experience with tax software preferred).
  • Familiarity using Microsoft Office and Google Suite (Sheets primarily); QuickBooks experience preferred.
  • Excellent attention to detail, organization, and time management skills.
  • Strong written and verbal communication skills.
  • Ability to multitask, prioritize responsibilities, and work independently.
  • Friendly demeanor when interacting with clients.
  • Prior experience in an AR/AP and small business management preferred
