HVAC Estimator / Project Manager

Job Description

This role combines HVAC estimating and project management responsibilities for commercial HVAC replacement and construction projects, overseeing work from pre-construction through completion. You will develop detailed estimates, prepare customer proposals, and manage awarded projects to ensure they are delivered on time, within budget, and to a high standard of quality. The position offers direct ownership of projects, high visibility into project profitability, and frequent interaction with customers, engineering teams, field personnel, and leadership. This is an excellent opportunity for an experienced commercial HVAC professional who enjoys both technical work and customer-facing responsibilities and who is interested in long-term growth into project management, operations management, or estimating leadership roles.

Responsibilities

  • Evaluate existing commercial HVAC systems to identify replacement and upgrade opportunities.
  • Develop complete project cost estimates for commercial HVAC replacement and construction projects, including labor, materials, equipment, and subcontractor costs.
  • Obtain and analyze vendor and supplier pricing to support accurate and competitive estimates.
  • Prepare clear, professional customer proposals and present them as needed to secure new work.
  • Manage awarded mechanical construction projects from pre-construction through completion, ensuring scope, schedule, and budget alignment.
  • Coordinate engineering and construction activities, including design-build efforts and collaboration with internal engineering teams.
  • Plan and schedule major project milestones and track progress using project management tools.
  • Oversee multiple projects simultaneously, prioritizing tasks and resources to meet deadlines.
  • Administer project documentation, including RFIs, submittals, and change orders, ensuring accurate and timely processing.
  • Use software tools such as Bluebeam, AutoCAD, Procore, and Microsoft Project to support estimating, coordination, and project tracking.
  • Monitor project budgets, manage cost controls, and support overall project profitability.
  • Maintain strong customer relationships throughout the project lifecycle, providing regular updates and addressing issues promptly.
  • Coordinate with vendors, subcontractors, and field personnel to ensure materials, equipment, and labor are available as needed.
  • Support field teams with clear drawings, specifications, and instructions to ensure proper installation and system performance.
  • Ensure timely project billing, documentation, and closeout, including final reports and project handover.
  • Collaborate closely with operations, service, and other internal departments to deliver seamless project execution.
  • Participate in company-wide initiatives, training, and process improvements related to estimating and project management.

You will work closely with a construction management team of more than 25 professionals within a larger organization of over 200 employees across trades and installers. The culture is practical and blue-collar in nature, with leadership and ownership coming from the trades rather than a large corporate setting. The environment is fast-paced, with multiple concurrent commercial mechanical construction projects and frequent collaboration with engineering, operations, and service departments. You will interact regularly with customers, vendors, subcontractors, and field personnel, and you will use tools such as Bluebeam, AutoCAD, Procore, and Microsoft Project to manage estimates, documentation, and schedules.
