Summary of Job Duties:UA Little Rock is seeking to hire an Administrative Analyst. The incumbent reports directly to the Department Chair and assists the Chair in supporting students, faculty, and staff with the flow of information and documents. Job duties also include assisting the Chair with monitoring the department budget and preparing and processing documents related to hiring, payroll, faculty travel, purchasing, and departmental events. This individual also provides registration assistance to students and faculty, and inputs course schedule information throughout the year. This position is governed by state and federal laws and agency/institution policy.
Qualifications:

Required Education and/or Experience:

  • The formal education equivalent of a high school diploma;

  • One year (minimum) of specialized training in business management, business education, or a related field;

  • Three years (minimum) of experience in specialized, or a related field applicable to work performed;

  • Other job-related education and/or experience may be substituted for all or part of these basic requirements.

Job Duties and Responsibilities:

  • Process purchasing requisitions, reconciliation and authorization for payments of invoices, travel authorizations, and TR-1 forms, Electronic Personnel Action forms, and leave reports;

  • Manage and balance the departmental budget;

  • Collect necessary information and prepare/process documents relating to hiring, payroll, travel, purchasing, and departmental events;

  • Input and update the course listing and manage E-updates;

  • Manage the Biology office, prepare department meeting minutes, and manage inventory;

  • Direct the activities of subordinate employees, monitor and review work regularly, and prepare annual performance evaluations;

  • Delegate tasks and organize assignments for work-study students and manage their time clock;

  • Provide registration assistance (clear advising flags when requested, course overrides, and related tasks);

  • Provide information to students and faculty and assist as needed/requested by students and/or faculty;

  • Maintain and develop new office policy and procedures as needed;

  • Answer the telephone and greet visitors professionally;

  • Perform other duties as assigned.

Knowledge, Skills, and Abilities:

  • Knowledge of the principles and practices of mathematics and statistics;

  • Knowledge of policy and procedures concerning the day-to-day operations of UA Little Rock;

  • Knowledge of policy and procedures concerning UA Little Rock Admissions, Academic Advising, and Registration;

  • Strong knowledge of computers and Microsoft Office.

  • Ability to plan, organize, and coordinate activities, resources, and materials associated with the needs of the department or program;

  • Ability to communicate effectively with others;

  • Knowledge of computers and software applications;

  • Ability to prepare, present, review oral and written information and reports;

  • Ability to research and analyze related work program information;

  • Ability to develop, recommend, interpret, and apply policy and procedures;

  • Ability to analyze financial records and prepare reports;

  • Ability to plan, organize, and direct the work of others;

  • Ability to learn Workday.
