Looking to join a passionate team dedicated to developing and manufacturing life-saving biopharmaceuticals? Avid Bioservices is a leading clinical and commercial biologics CDMO focused on creating innovative solutions to meet the needs of our clients and improve patient outcomes.
Your Role:
As the Associate, Business Operations, you will support the end-to-end RFP, RFI, proposal, and change order process for CDMO client opportunities. This role is responsible for coordinating cross-functional input, preparing proposal materials, supporting pricing and timeline development, maintaining standard response content, and partnering closely with Business Development and internal subject matter experts to issue accurate, high-quality proposals within agreed client timelines. The ideal candidate is highly organized, detail-oriented, responsive, and comfortable working across commercial, technical, quality, regulatory, project management, and operations teams to support biologics development and manufacturing opportunities.
Key Responsibilities:
  • Support the intake, review, and processing of client RFPs, RFIs, questionnaires, proposal requests, and change order requests for CDMO services.
  • Prepare proposal materials, including scope summaries, work plans, timelines, cost inputs, pricing support, assumptions, and supporting documentation based on client requirements.
  • Coordinate cross-functional input from Business Development, Project Management, Manufacturing, Process Development, Analytical, Quality, Regulatory, Finance, Legal, and other subject matter experts as needed.
  • Gather, organize, and format information into approved proposal templates while following established proposal standards, review processes, and client-specific instructions.
  • Manage proposal timelines and contributor deadlines to support accurate, complete, and timely proposal issuance.
  • Coordinate internal reviews, revisions, pricing validation, Business Development review, subject matter expert review, and required approvals prior to client issuance.
  • Partner with internal stakeholders to confirm proposal assumptions, scope boundaries, deliverables, timelines, and commercial inputs are clear and aligned with client requirements.
  • Maintain and update standard RFI/RFP response content, capabilities language, company descriptions, proposal templates, and supporting collateral to promote consistency and efficiency.
  • Support proposal-related client meetings, internal review discussions, technical review calls, and follow-up activities by preparing materials, capturing key inputs, and coordinating next steps.
  • Track proposal activity, status, approvals, and related commercial information in Salesforce or other business systems, ensuring records are current and complete.
  • Support continuous improvement of proposal processes, templates, content libraries, reporting, and sales-cycle-related analytics as assigned.

Minimum Qualifications:
  • Bachelor's degree in Biology, Biochemistry, Biotechnology, Business, Communications, or a related field from a four-year college or university.
  • Two to four years of experience in life sciences, biotechnology, biopharmaceutical services, proposal coordination, business operations, sales operations, project coordination, or a related function preferred.
  • Experience supporting RFPs, RFIs, proposals, quotations, Statements of Work, change orders, or client-facing commercial documents preferred.
  • Familiarity with CDMO, biologics manufacturing, drug substance manufacturing, process development, analytical development, quality, regulatory, or project management concepts preferred.
  • Equivalent combination of education and experience may be considered.
  • Strong organizational skills with the ability to manage multiple priorities, meet deadlines, and coordinate inputs from multiple contributors.
  • High attention to detail and commitment to accurate, complete, and high-quality deliverables.
  • Strong written and verbal communication skills, including the ability to summarize technical and commercial information clearly and professionally.
  • Ability to work effectively with Business Development, Business Operations, Project Management, proposal contributors, and internal subject matter experts.
  • Ability to review, organize, and synthesize scientific, technical, financial, and contractual information with guidance from appropriate subject matter experts.
  • Comfort with commercial calculations, including percentages, discounts, pricing inputs, and related proposal support calculations.
  • Proficiency with Microsoft Office programs, including Word, Excel, PowerPoint, Outlook, and Teams.
  • Experience with Salesforce, CRM systems, proposal content repositories, or document management systems preferred.
  • Self-starter with the discipline, responsiveness, and professionalism to work effectively in a remote, hybrid, or office-based environment.

Position Type/Expected Hours of Work:
This role is a full-time remote position. Days and hours of work are Monday through Friday unless otherwise stated by Supervisor. The employee must also have the ability to work overtime and/or weekends when necessary.
Compensation:
We offer competitive compensation packages for this role, including a base salary, performance-based bonuses, and comprehensive benefits such as health, dental, and vision insurance, 401(k) matching, and paid time off.
The compensation range for this role is $66,400 - $83,000 annually depending on experience and qualifications. Additionally, we offer opportunities for career growth and development as well as a supportive and inclusive work environment.
