The Billing Manager is responsible for managing all aspects of the firm's Billing team, including team member leadership and management, workflow coordination, and team growth and development. The Billing Manager acts as an information and quality control manager for the group.

Essential Duties and Responsibilities:

  • Provide holistic updates about billing to team leadership.

  • Review and/or prepare daily, weekly, or monthly reports as required.

  • Review and monitor Billing transactions and activities to ensure accuracy, completeness, timeliness, and conformance to company policies.

  • Develop strategies and tactics to optimize workflow.

  • Work with attorneys and Legal Support to design and develop invoicing to meet client needs and guidelines.

  • Address and respond to customer inquiries about billing, providing a high level of customer service.

  • Act as a liaison and escalation point between the Legal team, Billing team, and other Troutman teams.

  • Act as departmental representative at various meetings.

  • Monitor timekeeping policies and procedures to ensure client guidelines are followed.

  • Oversee the Billing process and ensures successful monthly close cycle.

  • Manage, develop, and advocate for the Billing team; identify areas of opportunity for individual team member's development and work with leadership and the team trainer to train and develop team members.

  • Hold regular One-on-One and departmental meetings with team members; conduct mentoring/development discussions with directs reports.

  • Maintain team expectations to ensure that they are understood by each team member and monitor them for compliance; evaluate direct reports performance; address personnel issues as needed and in a timely matter.

  • Utilize technology resources to maximize efficiency while maintaining the highest level of professionalism.

  • Exercise considerable judgment and discretion in establishing and maintaining good working relationships with both attorneys and staff.

Knowledge, Skills and Abilities:

  • Ability to work and deliver in a fast-paced under pressure.

  • Highly knowledgeable in operational strategies/business models for Billing.

  • Highly knowledgeable in Billing application functionality/capabilities.

  • Highly knowledgeable about legal accounting processes.

  • Broad understanding of Aderant or another legal billing application and can utilize the system capabilities to implement billing solutions.

  • Understands various software systems applicable to the law firm billing, cash application and collection functions.

  • Ability to lead a team, focusing on personnel and process improvement.

  • Has strong project management skills and the ability to prioritize and manage multiple initiatives simultaneously.

  • Possesses excellent written and verbal communication skills.

  • Strong analytical, organizational, interpersonal and presentation skills.

  • Capable of analyzing complex problems and recommending and/or implementing solutions.

  • Proficient in the use of Microsoft Word and Excel.

Education and/or Experience:

  • Bachelor's degree; any combination of training, skills, and experience to perform the core responsibilities of the position may be considered.

  • Minimum of five (5) years' experience managing a large team in a high-volume environment, with a track record of improved performance.

  • Experience in a law firm preferred.

  • Experience with eBilling preferred.
