Position Summary
Sound Income Strategies, a federally registered investment advisory firm with more than $4.5 billion in assets under management, is seeking a highly accurate and detail-oriented Fee Billing Specialist to join our Operations team.
This role is responsible for supporting the accurate calculation, processing, reconciliation, collection, and distribution of advisory fees across client accounts. Working closely with internal teams, third-party vendors, and custodians, the Fee Billing Specialist helps maintain the integrity of the firm's billing processes and ensures fee activity is completed accurately and within established deadlines.
The ideal candidate brings experience within financial services or RIA operations, strong Excel skills, exceptional attention to detail, and the ability to manage recurring, deadline-driven processes with a high degree of accuracy.
Key Responsibilities
  • Coordinate with third-party vendors and custodians to facilitate the accurate processing and collection of monthly and quarterly advisory fees from client accounts.
  • Calculate, review, and maintain client fee schedules, billing data, and advisor/representative payouts in accordance with established agreements and procedures.
  • Perform billing reconciliations to verify the complete and accurate collection of fees and identify discrepancies requiring research or correction.
  • Process fee reimbursements and adjustments when required, ensuring appropriate documentation and approvals are maintained.
  • Maintain and execute checks and balances designed to verify data integrity, identify discrepancies, and minimize billing errors.
  • Distribute fees to applicable representatives and prepare detailed client-level statements and supporting documentation.
  • Maintain accurate documentation of fee calculations, billing changes, adjustments, reconciliations, and established procedures.
  • Research and resolve billing-related discrepancies, questions, and requests from internal staff and business partners.
  • Partner with Operations and other internal teams to support accurate and efficient billing processes.
  • Assist with training and knowledge-sharing related to billing procedures, systems, and established processes.
  • Support additional Operations requests and projects outside of active billing cycles, as needed.

Requirements
Required Qualifications
  • 2+ years of experience in financial services operations, billing, accounting, reconciliation, or a related function.
  • Strong proficiency in Microsoft Excel and the ability to work accurately with large volumes of financial data.
  • Demonstrated experience performing reconciliations, identifying discrepancies, and maintaining accurate financial records.
  • Exceptional attention to detail and a high degree of accuracy when working with numbers and financial information.
  • Strong organizational and time-management skills with the ability to manage recurring deadlines and multiple priorities.
  • Strong analytical and problem-solving skills with the ability to research and resolve discrepancies independently.
  • Effective written and verbal communication skills with the ability to collaborate across teams and with external business partners.
  • Ability to maintain confidentiality and exercise appropriate discretion when working with sensitive financial and client information.

Preferred Qualifications
  • 2+ years of RIA billing experience, including calculating and maintaining advisory fee schedules, invoicing, processing, collection, reconciliation, and/or fee disbursement.
  • Experience working with custodians, third-party billing platforms, or reconciliation software.
  • Familiarity with advisory fee structures, client account billing, and financial services operations.
  • Bachelor's degree in Finance, Accounting, Business, or a related field; equivalent relevant professional experience will also be considered.

Physical & Work Environment Requirements
  • Ability to work for extended periods at a desk using a computer.
  • Ability to lift up to 10 pounds if/when necessary.
  • Routine use of telephone and email.
  • Office-based role with potential travel to conferences, events, and satellite offices as needed.
