ABOUT THE POSITION

The Assistant Project Operations Coordinator supports the Project Operations Coordinator and project management team in the day-to-day administration of construction projects. This role assists with project workflows, documentation, subcontractor and vendor coordination, billing support, compliance tracking, and project closeout to help ensure project information remains accurate, organized, and current.

JOB LOCATION: Meriden, Kansas - onsite

ESSTENTIAL JOB RESPONSIBILITIES:

  • Assist with maintaining the project management platform and updating project information in a timely manner.
  • Provide day-to-day administrative and operational support to the Project Operations Coordinator and project team
  • Assist with timelines, deliverables, project communication, file organization, and other duties that help drive project success.
  • Support the preparation, distribution, and tracking of subcontractor/vendor commitments and contracts.
  • Assist with entering and tracking change events and change orders.
  • Organize and maintain project documentation, including drawings, specifications, RFIs, and submittals.
  • Help track project updates, deadlines, and budget information as directed by the Project Operations Coordinator.
  • Gather, organize, and review supporting documentation needed for monthly project billing.
  • Assist the Project Operations Coordinator, project management, and accounting teams with billing schedules, follow-up, and recordkeeping.
  • Assist with collecting, organizing, and tracking final project documentation.
  • Collect and maintain required compliance documentation from vendors and subcontractors before the start of work.
  • Track outstanding documentation and communicate follow-up needs to support project readiness and reduce risk.

REQUIRED SKILLS/ABILITIES:

  • Strong organizational skills and exceptional attention to detail
  • Excellent verbal and written communication skills
  • Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment
  • Ability to establish collaborative relationships with internal teams, subcontractors and vendors
  • Proficiency with Microsoft Office Suite; experience with Procore or similar project management software is preferred
  • Ability to maintain accurate records and handle confidential information professionally
  • A team-first attitude, strong work ethic and solutions-oriented mindset

EDUCATION & EXPERIENCE:

  • High school diploma or equivalent required; associate degree in business, construction management or a related field preferred
  • One or more years of administrative, project coordination, construction administration or operations support experience preferred
  • Construction industry experience and familiarity with construction documentation and billing processes are a plus
