Office Services Lead
Lead the day-to-day operations of a high-performing workplace services team, ensuring a seamless and professional experience across office services, hospitality, reception, and mail functions.
In this role, you'll oversee a small team while serving as the key liaison between client leadership and onsite staff-driving service excellence, maintaining operational efficiency, and ensuring the workplace runs smoothly at all times.
  • Position: Lead Office Service Associate (Hospitality Driven)
  • Location: Chicago, IL 60605
  • Schedule: Monday-Friday, 8:00 AM-5:00 PM (NO Evening or weekends)
  • Pay Rate: $22.50/hour What We Offer: Full benefits eligibility after 60 days, 5 days of sick time, 10 days of accrued vacation, and tuition reimbursement eligibility after 1 year
Key Responsibilities
Team Leadership & Oversight
  • Lead, support, and guide a team of 3 across office services functions
  • Monitor time and attendance using Paychex Flex
  • Ensure team members maintain professional appearance and adhere to dress code standards
  • Partner with recruitment and management on hiring and onboarding efforts
  • Serve as the primary liaison between client leadership and the onsite team
  • Delegate tasks and provide direction to ensure consistent service delivery

Mailroom & Logistics Management
  • Oversee daily mailroom operations, ensuring accuracy and efficiency
  • Manage incoming and outgoing packages, maintaining detailed logs
  • Process incoming USPS mail in compliance with internal procedures, including logging, scanning, and distribution
  • Deliver weekly USPS compliance reports to client leadership

Workplace & Hospitality Support
  • Manage ordering and organization of pantry, coffee, and breakroom supplies
  • Maintain appropriate inventory levels and monitor expiration dates
  • Ensure all supplies are well-stocked, organized, and presentation-ready

Reception & Office Support
  • Provide backup support for reception and office services as needed
  • Assist with workspace setup, including desk preparation for new hires and clean-up for departures
  • Support internal office moves and workspace transitions

Facilities & Vendor Coordination
  • Create and manage work orders for office equipment and maintenance needs
  • Coordinate with vendors, track progress, and ensure timely resolution of issues
  • Partner with facilities and CRES teams to address access and keycard issues

Meeting & Office Coordination
  • Support conference room setup and breakdown as needed
  • Assist with general office organization and readiness to ensure a professional environment
