Job description

Position Summary:ย The Baseball Operations Coordinator supports the daily operational, technological, and administrative functions ofย IMGย Academyโ€™s Baseball program. This roleย is responsible forย coordinating baseball technology systems, video operations, eventย logistics, travel support, communication processes, facility coordination, and game operations to ensure a world-class experience forย student athletes, coaches, families, and visiting teams.ย 

Keyย Responsibilities:

  • Oversee the scheduling and execution of on-field video capture for practices, games, showcases, camps, andย special events.ย 
  • Manage departmental use ofย Teamworks,ย Smartabase, and related operational systems while serving as a support resource for staff, student-athletes, and families.ย 
  • Coordinate setup, operation, calibration, and tagging of baseball technology systems including Trackman,ย HitTrax,ย PlaySight, and related player development platforms.ย 
  • Maintainย GameChanger, MaxPreps, and other statistical platforms to ensure schedules, rosters, and game statistics are accurate and updated promptly.ย 
  • Research and evaluate emerging baseball technology and player development tools, providing recommendations for operational and performance enhancements.ย 
  • Develop and maintain inventory systems for baseball technology equipment, supplies, and operational resources.ย 
  • Provide basic IT troubleshooting and operational technology support for the Baseball department.ย 
  • Film and edit on-field drills, practices, games, camps, and training sessions in collaboration with Baseball coaching staff.ย 
  • Partner with the Head of College Placement to assist with recruiting video creation, editing, and distribution for student-athletes.ย 
  • Produce baseball program materials including team rosters, recruiting packets, operational manuals, and visual content as needed.ย 
  • Assist with creation of graphics, presentations, and communication materials using Canva or similar design platforms.ย 
  • Coordinate game-day operational staffing including umpires, Trackman operators, PA announcers, and other event personnel.ย 
  • Assist in organizing and executing IMG Academy-owned baseball events, showcases, tournaments, and camps.ย 
  • Collaborate with equipment managers and operational staff to ensure all equipment, uniforms, and field setup needs are met.ย 
  • Support travel coordination and logistics for Baseball teams, coaches, and staff in partnership with Baseball Operations leadership.ย 
  • Assist with scheduling, facility preparation, and operational support for visiting high school, collegiate, and professional teams training on campus.ย 
  • Work cross-functionally with campus departments to ensure all operational and training needs are executed effectively.ย 
  • Administer contact sheets, intake forms, FHSAA documentation, compliance records, and program check-in procedures.ย 
  • Serve as the Academic Attendance liaison for the Baseball department.ย 
  • Assist with parent communication and relationship management throughout the academic year and camp programming.ย 
  • Support the Camp Director and Baseball leadership with operational planning and administrative needs throughout the year.ย 
  • Manage office supplies, operational resources, and departmental administrative processes.ย 
  • Ensure all assigned responsibilities comply with IMG Academy, FHSAA, NCAA, and applicable governing body policies and procedures.ย 
  • Adhere to all company policies, procedures, safety standards, and business ethics guidelines.ย 
  • Other duties as assignedย 

Qualifications:

  • Bachelorโ€™s degree in Sports Management, Business Administration, Communications, or related field preferred.ย 
  • Experience working in baseball operations, athletic administration, event operations, or player development environments preferred.ย 
  • Proficiency withย Teamworks,ย Smartabase, Trackman,ย HitTrax,ย PlaySight, and other baseball technology platforms preferred.ย 
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced team environment.ย 
  • Excellent written, verbal, and interpersonal communication skills.ย 
  • Strong attention to detail and ability to work independently while collaborating effectively across departments.ย 
  • Proficiency in Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook.ย 
  • Experience using Canva or similar graphic design software preferred.ย 
  • Ability to adapt quickly and maintain professionalism in high-pressure operational environments.ย 
  • Flexibility to work evenings, weekends, holidays, and travel as required by the Baseball program schedule.ย 

Preferred Skills:

  • Advanced proficiency in Microsoft Excelย includingย formulas, pivot tables, macros, and data analysis preferred.ย 
  • Experience with Python, R, or other analytical tools for sports performance data analysis and visualization preferred.ย 
  • Experience working camps, tournaments, showcases, or elite baseball events preferred.ย 
  • Knowledge of NCAA, FHSAA, and baseball operational compliance standards preferred.ย 
  • Valid driverโ€™s license preferred.ย 
  • CPR Certification preferred.ย 

Physical Demands and Work Environment:

  • Ability to lift, move, push and pull equipment or boxesย in excess ofย 40lbs.ย ย 
  • Should be able to handle outdoor temperatures for a reasonableย period of time.ย 
  • Must be able to move around campus which includes gym, turf, fields, etc.ย 
  • Ability to work flexible hours to include nights, weekends and holidays isย requiredย ย
