Actual place of performance is to be determined by the Government; however, work is anticipated to be performed within the National Capital Region (NCR).

ARMADA is seeking detail-oriented Administrative Assistant - Badging personnel to support the Department of Health and Human Services (HHS), Program Support Center (PSC), Real Estate, Logistics, and Operations (RLO), Intake, Suitability, and Badging Services (ISBS). This position provides administrative support for HSPD-12 badging and credentialing operations by coordinating appointments, responding to customer inquiries, supporting badge issuance activities, and ensuring applicants receive timely and professional service throughout the credentialing process.


Duties & Responsibilities:

  • Administrative Assistant - Badging personnel will manage badge renewals, issuance, enrollment, binding, and alternate logon token (ALT) card issuance for applicants both within the NCR and outside the NCR at PSC regional offices.
  • Facilitate appointments for applicants situated outside the NCR by coordinating with regional PSC PIV card issuing facilities (PCIFs) or supporting OpDivs located near the applicant's residence.
  • Administrative Assistant - Badging personnel will ensure the prompt and accurate mailing of fingerprint cards to applicants, demonstrating a proactive approach to prevent any delays in the investigative process.
  • Demonstrate responsiveness and dedication to excellent customer service.
  • Administrative Assistant - Badging personnel will respond to all inquiries received at the ISBS Helpdesk.
  • Demonstrate attentiveness to applicants' concerns and a willingness to address their inquiries, concerns, or questions.
  • Provide accurate and helpful information to applicants, going the extra mile to resolve any issues whenever possible.
  • Administrative Assistant - Badging personnel will assist with badging operations in time of staff shortages to ensure workflow remains efficient and manageable.
  • Assist with ordering badging supplies, managing calendars, coordinating meetings, organizing events, and assisting with various office task(s).
  • Assist with performing essential tasks such as certificate re-key, pin reset, card updates, physical access activation, and the provisioning of appropriate technological resource access, while also handling the secure disposal of deactivated badges and requesting account terminations, in accordance with HSPD-12 policies, NIST 800-79-2, and FIPS 201-3 compliancy standards.
  • Administrative Assistant - Badging personnel will perform twenty (20) or more badging actions per day.
  • Other duties as assigned.

Knowledge, Skills and Abilities (KSAs):

  • Ability to work effectively with Government leadership, technical personnel, and contractor staff.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Proficiency with Microsoft Office applications.

Minimum Education/Experience:

  • Bachelor's Degree preferred, not required.
  • Five (5) years of relevant experience managing programs and/or projects

Preferred Experience:

  • Experience providing administrative support in a federal government or government contractor environment.
  • Experience coordinating appointments, calendars, and scheduling activities.
  • Experience supporting badging, personnel security, credentialing, or access control programs.
  • Experience responding to customer inquiries or supporting a Help Desk environment.
  • Experience maintaining records and tracking documentation in electronic databases.
  • Experience preparing correspondence, reports, and other administrative documentation.
  • Experience working with Microsoft Outlook, Word, Excel, and SharePoint.
  • Knowledge of HSPD-12 badging processes.
  • Excellent customer service, communication, and organizational skills.
  • Ability to manage multiple priorities while maintaining a high level of accuracy..
