Position Overview
The
Junior Back Office Business Management Analyst will support business operations, proposal development, administrative contract management, and internal coordination activities across the organization. This role is designed for an early-career professional with a business analyst foundation and experience supporting back-office operations, executive coordination, document management, and business process execution.
The analyst will work under the direction of senior leadership and business operations managers to help coordinate meetings, track action items, support proposal activities, maintain website and marketing content, develop presentation materials, and assist with processing business agreements such as Non-Disclosure Agreements (NDAs), Teaming Agreements (TAs), and contract modifications.
Key Responsibilities
Business Operations and Back Office Support
- Provide day-to-day back-office business operations support across administrative, proposal, contract, and corporate functions.
- Coordinate internal and external meetings, including scheduling, agenda preparation, meeting notes, and follow-up action tracking.
- Maintain and manage action item logs, status trackers, deliverable calendars, and internal coordination documents.
- Support senior leadership with business planning activities, document preparation, and operational reporting.
- Assist with organizing and maintaining corporate records, proposal files, contract documents, and business development artifacts.
- Help improve internal processes by documenting workflows, identifying administrative bottlenecks, and recommending practical process improvements.
Proposal and Business Development Support
- Assist with proposal development activities, including formatting, editing, compliance checks, document organization, and version control.
- Support the preparation of proposal artifacts such as resumes, past performance narratives, capability statements, pricing inputs, and compliance matrices.
- Help coordinate proposal schedules, color team reviews, assignments, and submission readiness activities.
- Maintain proposal libraries, templates, standard corporate content, and reusable proposal materials.
- Support website content updates, marketing material development, and capability presentation refreshes.
- Assist with identifying, organizing, and tracking business development opportunities as directed by senior leadership.
Business Analyst Support
- Apply junior business analyst skills to help gather, document, and organize business requirements from internal stakeholders.
- Assist in developing process maps, workflow summaries, business requirements documents, meeting summaries, and status reports.
- Help translate operational needs into clear tasks, action items, and deliverables for leadership review.
- Support data collection and basic analysis for business operations, pipeline tracking, staffing needs, and management reporting.
- Prepare clear written summaries, briefing materials, and slide decks that communicate business needs, progress, risks, and next steps.
Agreement and Contract Administration Support
- Assist with processing and tracking NDAs, Teaming Agreements, subcontractor documents, and related business agreements.
- Maintain agreement logs, expiration dates, routing status, and executed document files.
- Support the preparation, filing, and issuance of contract or task order modifications under senior leadership guidance.
- Help coordinate document routing for review, approval, signature, and distribution.
- Maintain organized electronic files for contracts, agreements, modifications, correspondence, and compliance documentation.
- Support compliance with internal document control, naming conventions, and approval processes.
Presentation and Communications Support
- Build and update professional slide decks for leadership briefings, client meetings, proposal presentations, and internal reviews.
- Draft meeting agendas, summaries, action item reports, and executive updates.
- Assist with maintaining company messaging, website content, capability statements, and marketing collateral.
- Prepare polished business documents using Microsoft Word, PowerPoint, Excel, Teams, SharePoint, and related collaboration tools.
- Ensure materials are accurate, well-organized, visually professional, and aligned with company standards.
Required Qualifications
- Bachelor's degree in Business Administration, Management, Communications, Information Systems, or a related field, or equivalent professional experience.
- 1 to 3 years of experience in a business operations, back-office support, proposal support, administrative analyst, or junior business analyst role.
- Experience supporting internal business operations, document coordination, meeting management, or executive administrative functions.
- Basic understanding of business analysis concepts, including requirements gathering, process documentation, workflow tracking, and stakeholder coordination.
- Strong written and verbal communication skills.
- Ability to manage multiple tasks, deadlines, and priorities in a fast-paced business environment.
- Proficiency with Microsoft Office tools, especially Word, PowerPoint, Excel, Outlook, Teams, and SharePoint.
- Strong attention to detail, organization, follow-through, and document management discipline.
Preferred Qualifications
- Prior experience supporting federal government contractors, proposal teams, or professional services organizations.
- Familiarity with proposal development processes, opportunity tracking, compliance matrices, and proposal libraries.
- Experience preparing or maintaining business development materials, capability statements, website content, or presentation decks.
- Exposure to NDAs, Teaming Agreements, subcontractor documentation, contract modifications, or task order administration.
- Familiarity with project coordination tools such as Smartsheet, Microsoft Planner, Asana, Trello, or similar platforms.
- Ability to create visually appealing and executive-ready PowerPoint presentations.
- Understanding of federal contracting terminology, including task orders, modifications, teaming, subcontracting, and procurement support.
