We're Hiring: Staff Accountant

Houston, TX | Full-Time | In-Office


Apex is growing fast — and our finance engine needs to grow with it. We're an $8M revenue company on a mission to build the next generation of leaders through school-based fitness and fundraising programs. Behind that mission is a serious financial operation: $80M+ in credit card transactions flowing through our payment system (Heritage Pay), multiple operating entities, and ~2,500 franchisee and partner accounts that count on us to be fast and flawless with their money.


This role isn't back-office busywork. It's the engine room of the business — and it comes with a clear runway to own more.


Why This Role Matters

You'll join as the right hand to our Head of Finance & Accounting, with an immediate mission: help run Heritage Pay — our payment processing operation — with speed and precision. From there, you'll grow into owning the full day-to-day bookkeeping of the business: payables, payroll processing, reconciliations, and month-end close across all our entities.


We're looking for someone who treats accuracy as a point of pride — because in this seat, thousands of franchisees and partners feel your work every single day.


What You'll Own


Heritage Pay Operations (your day-one focus)

• Process daily split settlement payouts — prepare payout files, submit to the bank, and upload settlement data into QuickBooks across our entities.

• Send daily payout summaries to franchisees and resolve exceptions before they become problems.

• Maintain clean documentation (ACH confirmations, settlement files) that keeps us audit-ready year-round.

• Help build controls and checklists so this operation runs like a machine — then run the machine.


Bookkeeping & Payables (grow into full ownership)

• Manage the payables cycle: intake new invoices, prepare weekly payables for management approval, and process approved payments.

• Review daily credit card and reimbursement activity for accuracy and sync to QuickBooks.

• Monitor bank account activity daily and match transactions in QuickBooks across entities.

• Keep receipts and supporting documentation organized and complete.


Payroll & Compliance Support

• Prepare semi-monthly payroll for management review and process it through our payroll provider; import payroll data into QuickBooks.

• Support sales tax filings — confirm automated state filings and complete manual filings where required.

• Assist with annual franchise tax filings across entities.


Month-End Close & Audit Support

• Reconcile all bank, loan, and credit card accounts across entities; research and resolve uncleared transactions.

• Review accrual/prepaid items, post monthly journal entries, and make sure intercompany accounts tie out.

• Prepare the month-end wrap-up for our CPAs and finance leadership.

• Support fiscal year-end audit requests and calendar year-end tax reporting.

This position is built to grow. You'll start focused on Heritage Pay, then progressively take ownership of the bookkeeping function as you earn trust and master our systems. Within your first year, the goal is simple: you own the day-to-day financial operations of the business, with our finance leadership focused on strategy, reporting, and growth.


What You Bring to the Table

• 2–5 years of accounting or full-charge bookkeeping experience (multi-entity experience a big plus)

• Strong QuickBooks skills and solid Excel/Google Sheets fluency

• Experience with payments, banking operations, or high-volume transaction processing is a major plus

• Obsessive attention to detail — you catch the penny that's off and the duplicate before it posts

• Reliability and discretion — you'll be trusted with money movement every day

• A process-builder's mindset: you document, systematize, and improve as you go

• A bias toward action and a genuine love for supporting a growing team
