The Role
We're looking for an Operations & Client Experience Coordinator to keep our office organized, our calendar tight, and our clients delighted from the first appointment through the final walk-through. You'll run the back office, own the scheduling, and be a warm, confident point of contact as projects move from installation to a finished, fully commissioned system.
You're equal parts organizer and people-person — the kind of individual who never drops a ball, always shows up on time, and can walk a homeowner through their new system with a smile that puts them at ease. If you love bringing order to moving parts and making clients feel taken care of, you'll fit right in.
Reports to: Director of Operations
Key Responsibilities
  • Run day-to-day back-office operations and keep the office organized and efficient
  • Own the schedule — appointments, installs, service visits, and commissioning — and coordinate crews, timelines, and client availability so nothing slips
  • Maintain project records, work orders, and system documentation
  • Serve as a friendly, professional point of contact for clients by phone, email, and in person
  • Coordinate our commissioning process from start to finish:
    • Confirm equipment is delivered, installed, connected, powered, and functioning, with network connectivity and firmware updates verified
    • Ensure devices are configured, synchronized, integrated, and fully tested before handoff
    • Deliver clear client training, capture a user-guide walk-through video, and attach it to the work order
    • Conduct the final walk-through, confirm expectations are met, and obtain client sign-off
    • Coordinate ongoing check-ups, updates, and post-install support
  • Keep communication flowing between the office, installation team, and clients

Required Qualifications
  • Experience in back-office management, administration, or operations coordination
  • Strong scheduling and calendar-management skills
