Description:
The Administrative Assistant provides high-level support to the Corporate Administrator, executive leadership, and the Bid Division Manager. This role requires outstanding organizational skills, attention to detail, and a proactive mindset. You'll help ensure daily operations run smoothly, legal and financial risks are minimized, and projects stay compliant and well-documented.
What You'll Do
  • Conduct research on new jurisdictions, regulations, and compliance topics
  • Manage special projects involving cross-functional teams
  • Use Excel to track data, apply formulas, and generate reports
  • Secure, organize, and maintain legal documentation for job contracts
  • Ensure each job has a binding customer contract in place
  • Manage timely and accurate customer change orders and track project scope changes
  • Oversee licensing, insurance, billing, and lien waiver requirements
  • Negotiate and finalize legal agreements for equipment and services
  • Maintain a high level of confidentiality and professionalism
  • Provide administrative support to the Corporate Administrator and executive team
  • Act as a backup to the Corporate Administrator during absences
  • Coordinate meetings via Microsoft Teams, including scheduling and follow-up
  • Draft, edit, and finalize reports, correspondence, legal documents, and meeting minutes
  • Maintain and update corporate documents and shared files

Qualifications:
Proven experience as an Administrative or Executive Assistant, or in a similar support role#Experience in construction, AV, or a related technical field#Associate's degree or higher in Electronics or a related discipline#Strong communication and interpersonal skills at all organizational levels#Excellent writing skills with a polished, professional tone#60+ WPM typing speed with strong attention to detail#Proficient in Microsoft Office Suiteespecially Excel, Word, Outlook, and Teams#Familiarity with safety standards and OSHA regulations#Organized, tech-savvy, self-motivated, and able to handle competing priorities
