Job description

We're looking for a Front Office Coordinator to be the operational hub of our shop — the person customers talk to, the person who keeps jobs moving through JobBOSS2, and the person who makes sure material, tooling, and paperwork show up when they're needed. This is a hands-on role in a small shop: you'll wear a lot of hats and work closely with ownership and engineering every day.

What You'll Do

  • Customer Communication — Serve as the primary point of contact for customers: answering questions, providing order status updates, and maintaining strong working relationships.
  • Quoting — Prepare and issue customer quotes, working closely with engineering on pricing, lead times, and technical requirements.
  • ERP Management (JobBOSS2) — Enter new customers, parts, and inventory into JobBOSS2; keep job records, routings, and data accurate and current.
  • Purchasing — Order raw material, tooling, and outside processing services; track deliveries and manage vendor relationships to keep jobs on schedule.
  • Shipping & Logistics — Coordinate outbound shipments, prepare packing slips and shipping documentation, and manage carrier relationships.
  • Invoicing — Generate and issue customer invoices upon job completion; support basic AR follow-up.
  • Documentation Support — Assist with Certificates of Conformance and other quality/shipping paperwork as needed.

What We're Looking For

  • Required: Hands-on experience with JobBOSS2 or a comparable manufacturing ERP system (E2, ProShop, Global Shop, etc.)
  • Strong customer-facing communication skills — comfortable on the phone and in writing with customers and vendors
  • Highly organized with strong attention to detail; able to juggle multiple jobs and priorities at once
  • Comfortable with computers and general office software (Microsoft Office/Excel, email, ERP systems)
  • Experience with purchasing, inventory, or shipping/logistics coordination
  • Ability to work well in a small-team, fast-paced shop environment
  • Manufacturing, machine shop, or aerospace/automotive supply chain experience is a strong plus
  • High school diploma or equivalent required; additional education or certifications a plus

Nice to Have

  • Familiarity with AS9100 or ISO 9001 quality systems
  • Experience reading basic engineering prints/blueprints
  • QuickBooks Online experience

Compensation & Details

  • Pay: $19–$26/hr, based on experience
