Job description

District Supervisor Trainee

Position Description: The District Supervisor at United Dairy Farmers is responsible for oversight, leadership and management of 6-9 stores assigned. The primary responsibility of a District Supervisor is to ensure the delivery of outstanding service to every Guest across each store by following the five phases of The Hi Five Guest Experience (Invited, Welcomed, Well-Served, Respected, Fulfilled), including insuring stores maintain a UDF standard of excellent store conditions. The District Supervisor ensures the safe and efficient operation of all stores within the district while complying with all laws and regulations, and all company policies and requirements. District Supervisors are also responsible for coaching and developing our associates and ensuring each store management team has a focus on development.

Essential Functions:

Guest Experience

·         Directing Store Management Teams: monitor daily activities; coach The Hi Five Guest Experience; train associates personally or oversee their training by others; make recommendations for promotions, demotions, suspensions or separations;

·         Overall Guest Services: Ensure that stores are providing the signature UDF Hi Five Guest Experience.  Analyze guest experience and Quality Assurance scores to determine base line levels of service and quickly respond to areas of improvement.

·         Stocking Merchandise: Insure and oversee process of stores to keep shelves, displays, milk box and freezers filled and faced, ensure dip cabinet is filled and appears presentable to our Guests; ensure coffee pots and ice dispensers are full, ensure the proper rotation of stock and check for out of code dates.

·         DipSide Guest Services: Ensure each store is prepared in hand-dipped ice cream operations based on company standards.

Leadership & People Development

·         District & Store Staffing: Oversee and participate in the recruitment, interviewing and selection of store associates.  Ensure each store is determining the most efficient use of allotted labor hours while optimizing labor within their district.

·         People Management

o   Upbeat, positive management style that fosters engagement and a team attitude toward a close, tenured group.  Comfortable operating in a family run environment.

o   Responsible for providing direct reports with timely, candid and constructive performance feedback; developing associates to their fullest potential and provide challenging opportunities that enhance associate career growth.

o   Developing the appropriate talent pool to ensure adequate bench strength and succession planning; recognizing and rewarding associates for accomplishments. 

o   Incumbent also holds his direct reports accountable for performing the same functions and activities with their direct reports if applicable.

o   Responsible for growing associate engagement within the team as measured by regular engagement surveys.

o   Grow and Develop Store Leadership teams and offer opportunities to shadow incumbent and/or cover the District Supervisor role while incumbent is out (i.e., vacation coverage)

Store Operations

·         Inventory Control: Ensure that each store in the district is adequately stocked with merchandise at all times and store managers are accurately recording all sales transactions, vendor transactions, ordering and pricing of product; participates in audits done quarterly at each store;

·         Security: Works with the store leadership team to minimize shoplifting and gas drive-offs, control cash levels in the register by using proper "drop" procedures, doing vendor log-in and following all steps in the Tobacco/Alcohol Management and Robbery/Violence Deterrence programs.  Works with Security team on investigations.

·         Point of Sale System and Gas Console:  Ensure stores are properly authorizing and control gas sales, accurately register all transactions, handling coins/currency/checks/credit card transactions/coupons/food stamps and making change.  Coordinate with Corporate Fuel team on pricing strategy and changes.

·         Ensure adherence by associates to all company policies and procedures as well as all state and federal laws; investigate and resolve associate complaints or conflicts; accurate completion of time records.

·         Financial Reporting: prepare, analyze, and transmit district results; Ensure store are following the company’s funds handling policy.  Monitor competitors’ activities as to pricing, merchandising, advertising, etc. and recommend responsive action.

·         Other duties as assigned by Management

 

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

 

Education and Experience: 

  • High school diploma or GED equivalent
  • Five or more (5+) years’ experience managing managers and/or direct reports

·         Previous experience in a QSR or C-store environment preferred

·         Previous Multi-Unit retail store management preferred

·         Excellent verbal and written communication skills,

·         Conveys respect and a positive attitude towards others through challenges and within daily work responsibilities

·         Extensive familiarity with food service programs including private label / home-grown versus external programs.

·         Process orientation and focus on prioritization and time management

·         Ability to understand and manage to the P&L for multiple categories across a significant geographic footprint.

·         Self-starter, strong drive, highly motivated to successfully manage time and prioritize opportunities and make decisions to deliver optimal results

  • Ability to operate in a complex, rapidly changing environment while adhering to tight schedules and budgets.

·         Strong organizational, problem-solving and attention to detail skills are required.

  • Must be well-organized and able to coordinate multiple tasks and requests. 

 

Computer/Technical:

·         Proficient in MS office/PC

·         Prior experience with Convenience / QSR based POS systems, Loyalty platforms preferred.

Minimum Requirements:

·         Ability to speak, hear and understand spoken English well enough to communicate effectively with customers.

·         Ability to see well enough to operate store equipment, including POS terminal, gas console, check identification documents and to use price book.

·         Ability to understand operating instructions for store equipment and to operate all store equipment.

·         Ability to prepare DipSide items using supplies located in the dip cabinets.

·         Ability to handle coins, currency, checks, credit transactions, coupons and food stamps, recognize denominations and accurately make change.

·         Ability to recognize numbers, count and do arithmetic well enough to complete required records.

·         Ability to move merchandise from storage to shelves/displays/freezers/milk box and place for proper display.

·         Ability to clean counters and other surfaces.

·         Ability to tolerate exposure to temperatures as low as –30 degrees Fahrenheit for at least 2 minutes.

·         Ability to tolerate exposure to temperatures as low as +33 degrees Fahrenheit for at least 10 minutes.

·         Ability to raise at least 10 pounds from floor level to a height of 5 feet.

·         Ability to place an 8” x 10” x 10” package weighing 21 pounds into a dip cabinet, the top of which is 3 feet above the floor.
