Job description

Recruitment and Admission Specialist

The Recruitment and Admission Specialist reports to the Associate Director of Outreach and Recruitment and plays a key role in this mission by engaging in community outreach efforts to guide prospective students in selecting or clarifying a major or program of study. The position helps organize outreach events such as college fairs, high school visits, and other community engagements; conducts information sessions and campus tours; and supports internal outreach for bachelor's programs within the college.

Position Salary Range: $72,488/year - $101,483/year

The salary information shown above is a general guideline only. The salary will be determined based on candidate's qualifications and related experience, as well as market and business considerations. Typically, new hire starts no higher than $79,737/year based on Bellevue College Exempt salary schedule.

We offer comprehensive compensation package with salary and benefits as the main components. Generous benefits are offered through Washington State plans that includes multiple medical, dental, life and disability coverage choices for employees and dependents; choices of retirement and deferred compensation plans; paid holidays, sick, and vacation plans; transit program, reduced tuition, employee discounts and memberships, etc.

The employee is scheduled to work 40 hours per workweek. This position may be eligible for overtime under the overtime provisions of the Fair Labor Standards Act. Positions with salaries below the minimum hourly wage is eligible for overtime pay.

Outreach and Recruitment

โ€ข Plan, coordinate, and execute assigned recruitment events, including campus tours, open houses, and admitted student days. Serve as the lead for assigned events and collaborate with the Associate Director of Outreach and Recruitment on larger recruitment initiatives to support enrollment goals.

โ€ข Build and maintain relationships with prospective students, families, school counselors, community-based organizations, K-12 schools, community colleges, and employers to advance recruitment efforts and build sustainable enrollment pipelines.

โ€ข In collaboration with the Associate Director of Outreach & Recruitment, contribute to enrollment strategies, annual recruitment plans, and outreach activities targeting diverse and underserved populations.

โ€ข Coordinate outreach activities and collaborate with internal and external partners to advance articulation agreement discussions, dual enrollment initiatives, and pipeline program development.

โ€ข Provide prospective students with entry guidance on the admissions process, financial literacy, academic preparation, and first-quarter enrollment planning, and make referrals for additional student support as needed.

โ€ข Assist students through all steps of the college's entry process, including applying, accessing resources, and enrolling, and help identify pathways aligned with their educational and life goals.

โ€ข Document and maintain prospective student contact information in CRM and other software systems as appropriate.

โ€ข Collaborate with faculty, staff, the Marketing and Communications department, and external partners to execute events and support onboarding initiatives. Respond promptly to phone, email, and mail inquiries from the community and prospective students.

Campus-wide Events and Activities

โ€ข Develop, coordinate, and facilitate assigned on-campus events, campus tours, information sessions, and recruitment programming to showcase Bellevue College's educational opportunities to prospective students, high schools, and community-based organizations.

โ€ข Coordinate and provide campus tours.

โ€ข Maintain accurate and timely records of assigned outreach activities, events, and partnerships within the department's centralized outreach tracking system, including workforce education, community engagement, continuing education, military outreach, and other recruitment initiatives.

โ€ข Assist with developing/planning career conferences, open houses, and other on-campus outreach activities.

โ€ข Assist with campus-wide guided pathways, equity/diversity/inclusion efforts, and other campus initiatives.

โ€ข Utilize Welcome Center, student ambassadors for tours, campus outreach events and admission sessions.

โ€ข Serve on campus committees as requested/approved by Director.

Bachelor and Selective Admission Program Recruitment

โ€ข Collaborate with program chairs and academic deans on targeted recruitment strategies

โ€ข Promote selective admission programs through events and outreach activities

โ€ข Coordinate with the Associate Director of Outreach and Recruitment, recruitment team members, and campus partners to ensure consistent messaging and accurate information is communicated to prospective students.

โ€ข Access and utilize recruitment data and reports in TargetX and the department's master outreach tracking system to inform outreach activities and support recruitment efforts.

โ€ข Coordinate internal and external recruitment pipelines in collaboration with key campus partners'including Advising, Enrollment Services, Financial Aid, academic departments, along with K'12 school districts to support student recruitment and enrollment pathways.

โ€ข Conduct targeted outreach to current students nearing eligibility for selective admissions programs to support timely engagement and transition into bachelor's degree pathways.

Community Strategic Partnerships

โ€ข Maintain partnerships with K'12 school districts and external partners and coordinate application and registration workshops to support student recruitment and enrollment opportunities.

โ€ข Attend partnership meetings as requested.

โ€ข Maintain partnerships with public agencies and private organizations serving dislocated workers, including DSHS, Employment Security/WorkSource partners, Seattle-King and Snohomish County Workforce Development Council, Private Industry Councils, etc.

โ€ข Organize and present workshops and develop other support services tailored to meet the unique needs of the Workforce Education population, in collaboration with industry partners, community organizations, and other external stakeholders.

โ€ข Perform other duties as assigned.

Minimum Qualifications

โ€ข Bachelor's Degree from an accredited institution. Experience may be substituted for the education requirement on a year-for-year basis.

โ€ข Minimum of two (2) years of customer service experience in a professional office or education environment.

โ€ข Minimum of one (1) year of professional experience supporting diverse populations, low-income clients, populations with significant barriers to higher education, employment and/or dislocated workers.

โ€ข Demonstrated experience working in a collaborative team environment with diverse employees and student/customer groups.

โ€ข Demonstrated effective interpersonal skills in collaboration, team participation, creative problem-solving, conflict resolution, and group planning.

โ€ข Demonstrated ability to use Microsoft Word, Excel, and Outlook.

โ€ข Demonstrated ability to use computers for data entry, web applications, searching the internet, and troubleshooting basic computer issues.

โ€ข Demonstrated ability to build and maintain student satisfaction and relationships with academic departments and services offered.

โ€ข Effective communication skills, including experience presenting information to large and small audiences in a variety of settings.

Preferred Qualifications

โ€ข Three (3) years of demonstrated experience advising students in a community college setting or relaying information related to university transfer, admissions process, policies, articulations, and requirements.

โ€ข Demonstrated experience using multiple modalities and Universal Design principles in one-on-one and group advising settings.

โ€ข Demonstrated experience using degree audit systems and performing unofficial transcript reviews.

โ€ข Demonstrated experience presenting and leading advising related workshops to students, college staff, and faculty.

โ€ข Experience working within an integrated academic and career advising department or system; ability to articulate the relationship between college major and career exploration.
