JOB SUMMARY

The proposal specialist will coordinate the development, assembly, packaging, and submission of RFQs and RFPs for potential clients in order to generate new business. This individual will be part of a team that welcomes and encourages new ideas and innovations; working closely with both executives and associates. The proposal specialist will designate assignments and will craft persuasive and accurate descriptions on how Brewer-Garrett best fits the expectations and outcomes of a potential client. This role is specialized for individuals with a keen sense of detail; excellent writing, editing, and time management skills; the ability to meet deadlines; and a willingness to learn. Additionally, this position involves the creation of content and management of BG social media platforms and various marketing/client facing materials.

DUTIES/RESPONSIBILITIES:

  • Collaborates throughout the proposal process including the coordination of project-specific information, development of content, and meeting all essential guidelines and target dates
  • Prepares and manages the development and execution of responses to Sources Sought, Statement of Qualifications (SOQ), Request for Qualifications (RFQ), Request for Proposals (RFP), and presentations
    • Reviews and interprets solicitation documents
    • Conducts kick-off meetings with bid team members
    • Assembles and populates proposals (based on solicitation requirements and answers from Q&A meetings)
    • Utilizes templates to ensure consistency and best practice
    • Creates precise, well-written narratives for non-technical proposal inquiries
    • Enlists subject matter experts for project specific technical narratives
    • Creates/assists in the development of graphic/visuals
    • Proofreads, edits, and formats proposals
    • Ensures proposals are compliant
    • Prints, assembles, and readies proposals for overnight delivery, hand delivery, and/or electronic submission
    • Develops presentations and supporting materials for proposal interviews, to include interview prep, Q&A with bid team, situation practices, and providing feedback
  • Contributes to the upkeep of the proposal database
  • Maintains excellent communication skills throughout the entire proposal process
  • Develops and maintains written and graphic promotional material
  • Exhibits outstanding organizational skills and accurately populates all project-specific information in the database
  • Creates engaging content for social media platforms and manages the content calendar
  • Works exceptionally well in a team and promotes a professional environment
  • Performs other duties as assigned

QUALIFICATIONS:

  • Bachelor's degree in English, communications, marketing, or related field
  • Proficient in Microsoft Office Suite, SharePoint, Teams, Word, Excel, and Salesforce
  • Superior language and editing skills including grammar, syntax, mechanics, and diction
  • Experience writing proposals or prior involvement in the proposal process

KNOWLEDGE, SKILLS, AND ABILIITES:

  • Excellent communication skills (oral and written); must be able to effectively relay information to various audience groups; must be able to prepare professional written communications (emails, documents, etc.)
  • Excellent organization and project management skills with the ability to balance workload, prioritize, and work under tight deadlines with a positive attitude
  • Must be able to work independently and effectively manage own schedule with limited oversight
  • Strong interpersonal skills; ability to foster and maintain positive working relationships with individuals internal and external to the company and from various backgrounds
