Cvent's Meetings & Events team is seeking a Meeting & Event Senior Associate Planner to help plan Cvent's internal and external company events, customer conferences, and other meetings. The successful candidate for this position must have proven ability to manage a high volume of concurrent meetings and events projects and programs in a fast-paced environment, with a hospitality first approach and orientation to the work. Experience coordinating internal and external groups and possessing highly effective communication skills to build constructive and effective relationships in required.
In This Role, You Will:
What You Will Be Doing
  • Plan and Execute Cvent Events Annually
    • Coordinate and execute internal and external company events with oversight from Meetings & Events Leadership.
    • Perform all event logistics including but not limited to event specifications, food and beverage, audio/visual, dรฉcor, room blocks and housing, creative elements, signage plans, etc.
    • Leverage AI tools responsibly to streamline planning workflows, enhance event execution, and improve decision-making while applying sound judgment, accuracy, and compliance with company standards.
    • Implement project work plans, staff timelines, milestone and goal setting, cross team coordination, deadlines met.
    • Regularly facilitate alignment meetings across personnel supporting and/or contributing to event-related activities across the organization.
    • Develop & maintain event and conference spend tracking while identifying opportunities for efficiencies and cost savings.
    • Source for venues and vendor using RFP's, lead supplier selection, and maintaining vendor relationships post contract completion.
    • Oversee event technology logistics including event and registration builds, attendee reporting, onsite staffing and tech management, and pre/post-event evaluations.
    • Manage and support visa management processes and spend reconciliation.

  • Bachelor's Degree.
  • 3-5 years of current relevant meeting and event execution experience required.
  • Experience with project management and cross team coordination skills across levels, geographies, and culture.
  • Ability to work on multiple projects and events simultaneously.
  • Excellent written and verbal communication skills.
  • Self-motivated able to work alone and team player with 'roll up your sleeves' attitude and record of experience in high-intensity, evolving, team-based environments.
  • Food & Beverage experience a must.
  • Sourcing and supplier coordination experience a must.
  • Experience with sponsorships / partnerships is a bonus.
  • Experience planning tradeshows is helpful.
  • Contract execution & negotiation skills a plus.
  • A.I. knowledge and use a plus.
  • Ability to recognize problems and to take appropriate actions toward solutions.
  • High degree of computer literacy and proficient in Microsoft Office suite.
  • Proven aptitude for quick creative thinking with acute attention to detail within demanding deadlines.
  • Experience with Cvent Event Management, Cvent Virtual and Sourcing Solutions, MS Office Suite (Word, Excel, PPT), Zoom, Slack, Workday, Concur and Salesforce a plus.
