The Payroll Specialist will be responsible for processing employee payroll accurately and on time, ensuring compliance with federal, state, and local regulations. The ideal candidate will have a strong understanding of payroll procedures, excellent communication skills, and the ability to maintain confidentiality in all payroll-related matters.
What You'll Do
  • Preparing and processing of bi-weekly payroll timely and accurately for hourly and salary employees

  • Reviews all time & attendance entries to ensure that all hours have been properly and correctly recorded and that overtime and payroll exceptions if applicable, have been approved

  • Ensure compliance with applicable federal, state, and local tax laws, including deductions for benefits, taxes, and garnishments

  • Process new hires, terminations, and other employment status changes in the payroll system

  • Prepares final checks for voluntary and involuntary terminations

  • Maintain and update employee payroll records, including deductions, benefits, and tax elections.

  • Assist employees with payroll inquiries and resolve any issues or discrepancies promptly

  • Manage W-2 process with 3rd party payroll company

  • Work with HR and Finance teams to ensure accurate record-keeping and reporting.

  • Data entry and processing of mileage and commuting stipend calculations for expense reimbursement

  • Reconcile payroll-related accounts and prepare reports for management as needed.

  • Responds to Verification of Employment and EDD Requests

  • Stay up-to-date with payroll legislation changes and apply them accordingly.

  • Complete other duties as assigned

What You'll Need
  • High School Diploma, equivalent or two-year degree plus 2 - 4 years of payroll or equivalent combinations of training and experience

  • Experience with Workday is highly preferred

  • DOJ/FBI Live Scan Background & TB Clearance

  • In-depth knowledge and experience of payroll calculations/processing, payroll taxes and accounting principles to include applicable journal entries

  • Experience with working with a 3rd party payroll provider

  • Strong mathematical skills

  • Ability to abide by ethical guidelines and policies, including strict adherence to confidentiality.

  • Working knowledge of standard business practices and procedures, including basic HR practices

  • Knowledge of Local, State and Federal employment laws and Human Resource policies and procedures

  • Superior customer service skills, strong analytical skills, excellent organizational skills, and a keen attention to detail

  • Computer-literate; knowledge of standard company software applications, internet

  • Effective interpersonal skills

  • Excellent organizational skills with ability to manage multiple tasks

  • Ability to problem-solve

  • Proficient written and verbal English language communication skills, including business writing and professional telephone manner

  • Proficient use of word-processing software and other computer applications

  • Reliability, dependability and flexibility

WORK ENVIRONMENT AND PHYSICAL DEMANDS:
  • Occasional exposure to dust and fumes

  • Requires frequent reaching, handling, sitting, standing, walking, hearing, and talking

  • Requires up to 4 hours of sitting without breaks and up to 10 hours per day

  • Requires up to 4 hours of computer screen viewing without breaks and up to 10 hours per day

  • Requires use of keyboard and calculators daily and for prolonged periods of time

  • Occasional stooping/bending/crouching, carrying and lifting 20 or more lbs.
