Job Description
The Senior Associate is the key support resource for the Operations team. They own and assist in monthly deliverables for financial client documentation as well as project management across multiple brands.
Responsibilities
  • Financial and Operational Coordination
    • Maintain team deliverables calendar and keep team updated on the status of tasks and client deliverables
    • Create, support, and deliver monthly financial deliverables through effective management of team timelines, internal workflows, and client deadlines
    • Provide timelines and accurate documentation, communications, and status updates to keep all teams informed
  • Deliverable Management
    • Prepare and distribute financial monthly deliverables to the greater team with clear direction on requirements
    • Route materials for managers review/approval
    • Prepare and send out completed financial documents to clients meeting their deadlines
    • Distribute updates, meeting notes, reminders, and status communication to internal team members
  • Operational Support:
    • Monthly asset audits
    • Review invoices for information accuracy
    • Liaise with finance for necessary requests
    • Administrative and operational support for the team and manager
    • Be prepared for deliverables on an as needed basis:
      • To attend meetings and take notes to share with the larger team
      • Complete any necessary job code requests
      • Employee onboarding and offboarding support
      • Launch Deck QA
      • Ad hoc reporting/client deliverables
  • Collaboration and Execution:
    • Communicate effectively with managers and cross-functional teams around all levels of the team
    • Demonstrate attention to detail and accountability in execution of the assigned projects and deliverables
    • Identify potential issues proactively and escalate when necessary

Qualifications
  • Minimum of 18 months - 2+ years in operations or project management in a media agency setting
  • 1+ year experience using MS excel + MS suite (advanced excel skills a plus)
  • 6 months - 1+ year media systems and tools (examples: project management software, MediaTools, Mediaocean)
  • Optional: HCP/Pharma media experience (background can include planning or investment)
  • Previous experience supporting client financials and operational processes
  • Highly organized with great attention to detail
  • Strong follow through skills with the ability to manage multiple projects and deadlines
  • Ability to learn the basics of how the agency operations, workflows, and internal processes
  • Excellent problem-solving skills with the ability to recognize and escalate issues appropriately
  • Must be Excel proficient, enthusiast preferred, with a good understanding of equations, Pivot Tables, and VLOOPUPs functions
  • Self-starter with a willingness to learn
  • Collaborative team player

Compensation Range: USD $50,065.00 - USD $66,360.00/Annually. This is the pay range the Company believes it will pay for this position at the time of this posting. Consistent with applicable law, compensation will be determined based on the skills, qualifications, and experience of the applicant along with the requirements of the position, and the Company reserves the right to modify this pay range at any time. Temporary roles may be eligible to participate in our freelancer/temporary employee medical plan through a third-party benefits administration system once certain criteria have been met. Temporary roles may also qualify for participation in our 401(k) plan after eligibility criteria have been met. For regular roles, the Company will offer medical coverage, dental, vision, disability, 401k, and paid time off.
