Job description

Summary
This role reports to the Management Council's Senior Vice Presidents (2) and Director, Legal Operations on various department initiatives. The person in this role will split their time between providing support to the NFL Player Care Foundation, Labor Policy & Health programs and to the department's Senior Vice Presidents. The candidate should have experience working in the legal field and community relations.
Responsibilities
  • Correspond with clubs and third-party vendors regarding annual medical credentialing.
  • Create, edit and copy highly confidential memos and correspondence, organize and maintain hardcopy/e-files and proofread documents.
  • Prepare and process expense reports for department Senior Vice Presidents using Concur application.
  • Respond on behalf of Senior Vice Presidents to League, Club, Player Benefits and NFLPA representatives' inquiries and requests for information.
  • Assist with post-season event management
  • Edit and distribute department memoranda to CEC members and NFL Clubs via email.
  • Prepare, scan, save and track documents of record, located both on and off-site.
  • Proofread digital document images for accuracy prior to e-filing and confidential disposal.
  • Recall off-site legacy storage files, as directed.
  • Update and maintain varied e-files.
  • Read, prioritize and route incoming mail.
  • Schedule conference rooms for meetings.
  • Copy, scan and distribute materials, internally and externally - both hardcopy and electronic.
  • Maintain and order office supplies.
  • Other duties assigned by supervisors.

Player Care Foundation Support
  • Manage all aspects of PCF's weekly accounting check run, including check issuance, documentation, recording, and distribution.
  • Review and verify expenses with corresponding companies and individuals; typically manage 3-5 expenses per application and maintain a queue of 5-10 applicants simultaneously.
  • Create market email distribution lists and manage all Legends communications for PCF's Healthy Body & Mind Screening Program.
  • Grants Administration:
  • Distribute grant confirmation memos to applicants following each grant disbursement.
  • Finalize all payment requests within the PCF CRM portal (Zengine).
  • Process on-demand payments, including checks and electronic payments.
  • As needed, provide logistical, travel, and on-site support for PCF Board members and Officers at events including PCF Healthy Body & Mind Screenings, Board meetings, fundraisers, Super Bowl activities, and PCF Career Programs.
  • Conduct telephone and written follow-ups with players following PCF application closure to track outcomes and ensure program quality.
  • Assist the PCF Executive Director with monthly financial account reconciliations and support PCF's annual audit process.
  • Compile and distribute the weekly PCF staff call agenda in collaboration with PCF leadership and staff.
  • Coordinate communication, distribution, and inventory of all PCF survey respondent promotions.

Senior Vice Presidents' Support
  • Coordinate Senior Vice Presidents' respective calendars, phone calls and messages, meeting preparation, travel arrangements, contact lists, organize and maintain hardcopy and e-files and renew memberships, create, edit and copy highly confidential memos and correspondence and proofread documents.
  • Prepare and process expense reports for Senior Vice Presidents using Concur application.
  • Respond on behalf of Senior Vice Presidents to League, Club, Player Benefits and NFLPA representatives' inquiries and requests for information.
  • Process and file non-policy related department invoices. Coordinate with the finance department and vendors on invoice payments.

Required Qualifications
  • Education: Degree from a Four-Year College or University Preferred
  • Experience: Minimum three years related professional experience/Law Firm Preferred

Terms / Expected Hours of Work
  • This job posting is for a position with one of the NFL's third-party agency partners that provides services to the NFL. The individual selected for this role will be an employee of that third-party agency and not the NFL. All compensation, benefits, and other terms and conditions of employment.
  • May be asked to lift large files, up to 20lbs
