POSITION TITLE: Executive Administrative Assistant
LOCATION: Ridgeland, MS
JOB TYPE: Hourly, Non - Exempt
POSITION SUMMARY:
Under the direct supervision of the President, the Managing Director, Forestry, North America and the Managing Director, Head of Finance, the executive assistant position will provide secretarial and administrative support for the MWG executive team and staff.
ESSENTIAL FUNCTIONS:
Duties shall include, but not be limited to the following:
โ€ข Acting as the point of contact between executives, support staff, and other personnel to manage information flow;
โ€ข Receiving incoming calls, routing callers and/or messages to appropriate personnel;
โ€ข Receiving, sorting and routing mail, packages and electronic correspondence;
โ€ข Handling requests and queries appropriately, including but not limited to USPS/UPS/FedEx drop-offs;
โ€ข Maintaining travel calendar of executives and other support staff;
โ€ข Scheduling meetings and appointments and providing timely reminders;
โ€ข Typing correspondence and handling mail distributions for executive team members;
โ€ข Monitoring office supply room and kitchen inventory;
โ€ข Overseeing all building maintenance requests/issues;
โ€ข Carrying out an efficient documentation and filing system;
โ€ข Coordinating breakfast/lunch in-office meetings including event set-up/take-down;
โ€ข Assisting with event planning for MWG-related functions; and
โ€ข Other duties as may be assigned.
EDUCATION, EXPERIENCE AND SKILLS REQUIRED:
โ€ข College degree preferred
โ€ข Strong written, verbal, analytical, organizational and interpersonal skills.
โ€ข Proficiency with common business computer software, including Excel, word- processing, PowerPoint, and other database software.
โ€ข Comprehension of office management systems and procedures.
โ€ข Must possess strong planning and time-management skills.
โ€ข Must be a dependable team player with strong ethics.
โ€ข Must have a valid driver's license.
