Job Summary
Under the direction of the Dean of the School of Natural and Behavioral Sciences, the Administrative Assistant supports the daily operations of assigned academic departments through records management, communication, scheduling, and faculty and student support services.
Duties and Responsibilities
Duties and responsibilities listed are essential job functions and exclude functions which are incidental to the performance of fundamental job duties. This description does not state or imply that these are the only duties to be performed by the employee occupying this position.
  • Assist the university in implementing the Statement of Purpose.
  • Assist the university in implementing the long-range institutional and financial plans.
  • Provide administrative support to department chairs, faculty, and assigned academic departments by coordinating routine office functions and supporting departmental activities.
  • Serve as a primary point of contact for students, prospective students, faculty, staff, alumni, and visitors by responding to inquiries, providing information, and directing individuals to appropriate resources.
  • Maintain departmental records, files, correspondence, reports, and other documentation in accordance with university policies and procedures.
  • Assist with scheduling appointments, meetings, departmental events, and related activities, including preparation of materials and meeting documentation as needed.
  • Support academic and student services processes by assisting with course scheduling, registration-related activities, student records, advisement support, and maintenance of information within university systems.
  • Collaborate with the Dean's Office, and other university departments to facilitate communication, exchange information, monitor course enrollments, track faculty loads, and support departmental and SNBS operations.
  • Assist faculty and department chairs with administrative activities related to academic programs, assessment processes, reporting requirements, and departmental initiatives.
  • Monitor and maintain office supplies, equipment, and other departmental resources and communicate operational needs to appropriate university offices.
  • Assist with the coordination, training, and daily support of student workers, graduate assistants, and other temporary personnel assigned to the departments.
  • Participate in departmental, school, and university meetings, events, and activities as assigned or when staff participation is expected.
  • Conduct professional and private life in such a way that is harmonious with representing the ideals and standards of a Christian university.
  • Perform other job-related duties as assigned.

Required Qualifications:
  • High School diploma and five plus years secretarial/administrative experience.
  • Prior secretarial and administrative experience and familiarity with Microsoft Office Professional software especially WORD, EXCEL, POWERPOINT, OUTLOOK.
  • Must have excellent verbal, written and communication skills.
  • Must have excellent interpersonal and organizational skills.
  • Must have the ability to work independently, complete multiple assignments, meet deadlines, exercise good judgment, demonstrate tactfulness and discretion and maintain confidentiality.

Preferred Qualifications:
  • Bachelor's degree in business or related field from a regionally accredited institution
  • Work experience in higher education
  • Experience in proof reading and editing.

Physical Demands:
  • Must possess mobility to work in a standard office setting, and to use standard office equipment including a computer.
  • Must be punctual and able to work scheduled hours in an on-campus setting
  • Must be able to walk short distances on campus daily to accompany students and paperwork to and from other departments.
  • Must have vision to read printed materials and a computer screen; hearing and speech to effectively communicate in person and over the telephone.
  • Must have the ability to sit or stand for extended periods of time (up to 4 hours consistently).
  • Must have strength and agility to move files, paper boxes, and minor office equipment.
