โ€ŠAbout the Company
Our client is a private residential cooperative consisting of approximately 1,100 apartments located in the West Brighton/Coney Island section of Brooklyn.
The management office operates with a collaborative on-site team that includes a General Manager, Assistant Manager, Director of Operations, Assistant Director of Operations, Security Coordinator, and Administrative Assistant. Together, they work closely with the cooperative's Board of Directors to oversee the daily operations of the community.
In addition, the property is supported by an experienced in-house maintenance team of approximately 25 union employees, creating a dynamic environment where every day brings something new.
Role & Responsibilities
As the Administrative Assistant / Receptionist, you will play an integral role in keeping the management office running smoothly while delivering a positive experience to residents, shareholders, vendors, and visitors.
Responsibilities include:
  • Serve as the first point of contact by phone, email, and in person for residents, vendors, and visitors
  • Answer and route approximately 25 phone calls per day
  • Welcome and assist approximately 20 walk-in visitors daily
  • Schedule appointments for the management team
  • Prepare resident notices, correspondence, and other documents from templates
  • Perform data entry and maintain accurate electronic records and filing systems
  • Provide administrative support to the management office as needed
  • Maintain professionalism and composure while communicating with residents during challenging situations
Qualifications
The ideal candidate will possess:
  • Minimum 3 years of administrative support experience in a professional office environment (recent college graduates with exceptional administrative or internship experience will also be considered)
  • Strong proficiency with Microsoft 365, including Outlook, Word, Excel, and Teams
  • Excellent written and verbal communication skills
  • Outstanding customer service and interpersonal skills
  • Strong organizational skills with exceptional attention to detail
  • Ability to multitask and remain calm in a fast-paced environment
  • Professional, polished, and dependable demeanor
  • Bilingual (Russian, Spanish, or another language) is a plus
Requirements
  • Commute to the office should not exceed approximately one hour
  • Must be available to work fully on-site Monday through Friday
