Position Overview:
The Receptionist/Admin Assistant will perform administrative tasks and services to support effective and efficient operations throughout the agency.
Key Responsibilities:
Front Desk Management
Answering and directing incoming calls promptly and professionally, ensuring all inquiries are addressed or routed appropriately. They greet and assist visitors, creating a positive firstimpression for anyone entering the office. Additionally, they oversee guest management and keep track of scheduled appointments to ensure the front desk operates smoothly and efficiently.
Administrative Support
This role involves supporting special projects and tasks, including purchasing, event coordination, clerical organization, and other related duties. The Receptionist/Admin Assistant handles essential agency-wide tasks, such as check distribution, mail management, and posting communications as needed. They also assist Human Resources by updating employee information, managing compliance reporting, documenting communications, and supporting other administrative projects. Tracking document signatures and ensuring timely reporting are also key aspects of this responsibility.
Facility Oversight
The Receptionist/Admin Assistant ensures the building operates safely and efficiently by opening and/or closing the facility as needed. They monitor cleanliness in communal areas, including the lobby, kitchen, and bathrooms, addressing or reporting any maintenance or cleanliness issues promptly to maintain a welcoming environment.
Program and Task Monitoring
This position involves implementing and monitoring new programs and tasks as needed, ensuring that these initiatives are executed effectively. The Receptionist/Admin Assistant also ensures workloads are completed promptly, meeting deadlines and providing proper communication or follow-up when necessary to maintain smooth operations.
Technology and Resource Tracking
In collaboration with HR and team members, the Receptionist/Admin Assistant helps track and maintain the agency's inventory of technology and resources. They ensure all tools and equipment are accounted for and managed efficiently to support the organization's operational needs.
Communication and Reporting
The Receptionist/Admin Assistant promptly communicates and escalates issues that require attention, ensuring proper follow-up and resolution. They assist with reporting and compliance tracking, contributing to the overall success of organizational operations by maintaining accurate records and delivering timely updates.
Other Duties
The Receptionist/Admin Assistant performs any additional assignments deemed necessary by the Supervisor to support the agency's evolving needs and priorities.
