MHA is seeking a Full time Administrative Assistant to join our Montclair program site location! Be a part of the team that makes a difference in the lives of our consumers.

Qualifications:
  • Must have at minimum a High School Diploma or GED and experience as an Administrative Assistant or Receptionist in a similar capacity.
  • Strong organizational and administrative skills are required, as well as excellent verbal and written communication skills.
  • The Administrative Assistant must be able to adapt to changing priorities and be willing to take direction from multiple Directors and Senior Staff.
  • Must be proficient in Microsoft Office Suite.                 
Responsibilities: The Administrative Assistant/Receptionist is responsible for performing administrative tasks for both the reception area and the Human Resources department. The workday will be split between Reception Area and Human Resources duties. This includes, but is not limited to the following:
Reception Area:
  • Answer and screens incoming calls to the Organization’s main number and transfers phone calls to MHA staff.
  • Provide reception area coverage. This includes greeting visitors, allowing entry to the building, and providing PPE to visitors, as needed.
  • Provide back-up coverage on phones for Administrative Assistants in Montclair and Parsippany.
  • Remain well-informed of staff availability at all times.
  • Share responsibility for opening and/or locking the building, as needed.
  • Communicate with Montclair staff regarding the plan to secure the lobby upon leaving for the day or for scheduled breaks.
  • Sort and distribute incoming mail and ensures postage for outgoing U.S. mail, as needed.
  • Deliver standard and certified mail to the U.S. post office, as needed.
  • Unpack supplies upon delivery and supplies storage cabinets, as needed.
Human Resources:
  • Provide general clerical support to the Human Resources department; including filing, records maintenance and archival, faxing, mailing, periodic updating and maintenance of various HR systems and forms.
  • Assist HR Director with Montclair parking permit applications, processing and management.
  • Assist the HR team with preparation for all audits, by ensuring personnel files are compliant with CARF, state and federal standards, as directed.
  • Perform other duties as assigned by the Director of Human Resources.
Annual Base Rate: $38K
