IES Safety, LLC โ Administration Department is seeking an Operations Administrative Assistant to join our team. This role provides essential administrative support to the organization while assisting the Human Resources department with day-to-day operations, as well as supporting various departments across the company.
The ideal candidate will demonstrate professionalism and maturity in demeanor, with a strong commitment to accuracy, organization, and attention to detail. This position requires someone who is dependable, diligent, and capable of managing multiple priorities while handling sensitive information with discretion.
Essential Functions
โข Answer and direct incoming phone calls and inquiries in a professional manner
โข Maintain office supply inventory and place orders as needed
โข Coordinate out-of-town travel activities
โข Manage incoming and outgoing mail, packages, and correspondence
โข Maintain organized and accurate document management systems
โข Overseeing office equipment and maintenance
โข Provide administrative support to all departments as required
โข Perform general office duties to ensure smooth day-to-day operations
HR Duties
โข Updating and managing employee data in HR systems
โข Assisting with recruitment efforts
โข Handling employee inquiries regarding HR policies and procedures
โข Screening resumes and candidate applications
โข Assisting with job offer preparation
โข Maintaining compliance with employment laws and regulations
โข Provide general administrative support to the Human Resources department
Minimum Qualifications
โข Excellent organizational and time management skills
โข Strong attention to detail and accuracy
โข Proficiency in Microsoft Office Suite and HR management systems
โข Excellent communication and interpersonal skills
