Job description

The North Dakota State University Foundation seeks mission-driven individuals interested in joining a growing team dedicated to connecting people, developing partnerships, teamwork, accountability, transparency, stewardship, communication, and service. The Foundation invites candidates for a Development Coordinator \ Admin Assistant, full-time non-exempt (hourly) position. This is a great opportunity for someone earlier in their administrative support career.

Position Summary:
The Development Coordinator supports the mission and beliefs of the Foundation by working to enhance and support fundraising efforts through individualized support of directors/managing directors of development. This role offers assistance for the day-to-day operations of the directors/managing directors of development through a range of duties in administrative, clerical, and technical areas.
Essential Duties and Responsibilities:
  1. Provide support to the development functions of the organization
    • Assist with the day-to-day and monthly activities identified with the director, managing director and/or vice president of development to advance movement of prospect/donor through respective stages of the donor cycle — may include but not limited to providing requested materials for prospect/donor visits, and creating and/or proof-reading correspondence for mailings and process as requested
    • Collaborate with other departments, internal and external, to complete projects, tasks, and direct inquires and provide follow-up where needed
    • Provide large project assistance by scheduling and attending strategy meetings: track progress, maintain momentum and coordinate needed reports and information
  2. Assist directors of development (fundraising professionals) with tasks tied to their assigned portfolios
    • Utilize donor database (Salesforce Ascend) to confirm and/or enter actions and next step(s) and provide follow-up where needed
    • Submit director of developments’ requests for donor research and portfolio moves management
    • Assist in verifying status of prospects in portfolios
    • In partnership with directors of development, help formulate and implement strategies to build enduring relationships and steward donors
  3. Offer direct administrative support to assigned directors of development
    • Conduct bi-monthly/monthly one-on-one meetings with directors of development
    • Schedule and coordinate meetings with Foundation staff, campus partners and other individuals as requested, including room and technology set-up as needed
    • Prepare, review, and submit appropriate paperwork for monthly expense report to reconcile development coordinator’s and/or each director of development’s credit card statement
    • Assist directors of development with meetings and travel plans as needed including transportation, hotel, and other accommodations
    • Assist development team with on- and off-site needs; mailings, printings, running errands, and gathering supplies
    • Provide support within the on-boarding and/or off-boarding process for directors of development
  4. Support other development operations functions
    • Assist with greeting all incoming traffic to the Foundation and responding to inquiries
    • Maintain development coordinator manual and related processes
    • Assist prospect management with reports and projects as needed
    • Offer backup coverage to other development coordinator(s) as needed
5. Other duties as assigned
Essential Functions:

    • Efficiently operate a personal computer and associated software (Outlook, Word, Excel, etc.)
    • Maintain files accurately, in paper and in software programs
    • Maintain records and prepare reports
    • Handle multiple tasks simultaneously
    • Plan, prioritize and meet deadlines
  2. Establish and maintain positive working relationships with others both internally and externally to achieve the goals of the organization.
    • Interact in an effective and appropriate manner with diverse populations, internal staff, University community and the public
  3. Work cooperatively and effectively with others to identify and resolve problems and make decisions that enhance organizational effectiveness.
    • Maintain confidentiality of records and information
    • Display excellent judgment and decision making
    • Follow through on projects with little supervision
  4. Speak, listen, and write in a clear, thorough, and timely manner using appropriate and effective communication tools and techniques.
  5. Model prompt and reliable attendance.

Minimum Qualifications:
  1. High School Diploma or equivalent
  2. Minimum 2+ years of related experience and/or education in administrative support functions
  3. Exceptional customer services skills
  4. Excellent communication skills
  5. Ability to handle multiple projects and possess excellent time management and organizational skills
  6. Ability to work independently as well as part of a team
  7. Strong attention to detail and accuracy
  8. Proficiency with technology including Microsoft Office Suite (Word, Excel, Outlook)
  9. Professional demeanor
Preferred Qualifications:
  1. Associates degree or higher
  2. 5+ years of related experience as an administrative professional
  3. Previous experience with CRM software such as Salesforce, or other similar system
  4. Previous experience in a higher education or nonprofit setting
Physical and Mental Demands:
Constantly operates a computer/smartphone/tablet. Regularly required to maintain a stationary position, move about the office, determine what others have said or written, critical thinking and converse with others and exchange accurate information. Regularly required to sit, stand, bend, reach, and move about the office and within the community. May also include occasional bending, stooping, squatting, and/or pushing and pulling or moving objects. Occasionally required to move, raise, reach and/or retrieve binders, books, boxes, and files up to ten (10) pounds.
