Job description

Position Summary:

The Prospect Management Specialist would be responsible for working with the directors of development at the NDSU Foundation to assist them in managing their major gift portfolios. Through prospect management, this position would pull reports, read through actions, and document prospect information in the Foundation’s CRM system to support the fundraising efforts of the Foundation. This individual will conduct monthly portfolio review meetings with the directors of development to facilitate prospect movement and maintain data accuracy. With great attention to detail, this individual would provide insight to the directors of development to support advancing prospects through the donor cycle to secure gifts and create long-lasting relationships.
Essential Duties and Responsibilities:
  1. Utilize the prospect management system
    • Work with directors of development to understand their portfolio, prospect relationships, effective portfolio management and track moves management of constituents.
    • Facilitate individual portfolio reviews monthly
    • Review, enter and correct prospect information to ensure data integrity in the prospect management tracking system, including contact reports, opportunities, strategic plans, and other prospect data
    • Review and link gifts to fund opportunities as appropriate, including sponsorships of events and programs. Manage the portfolio change request process
    • Monitor fundraising activity to ensure alignment with prospect management guidelines and processes
    • Provide guidance and recommendations that support the management of prospects and donors through the development cycle
  2. Provide training and assistance
    • Collaborate and provide expertise and knowledge of prospect management system and individual prospects to Foundation teams
    • Support portfolio reviews and prospect strategy meetings to ensure strong portfolios and facilitate the movement of prospects through moves management.
    • Conduct staff training on prospect management guidelines and the client relations management database (includes SALESFORCE/ASCEND).
  3. Other
    • Assist with review, and maintaining prospect management policies and procedures, best practices and moves management guidelines
    • Collaborate with other departments to complete projects, tasks, direct inquiries and provide follow-up where needed (DCS, Outreach, IS)
    • Manage off-boarding portfolio process for directors of development including tracking temporary reassignment of prospects and donors
  4. Other duties and projects as assigned.
Essential Functions:

    • Efficiently operate a personal computer and associated software (Outlook, Word, Excel, etc.)

Minimum Qualifications:
  1. Bachelors degree in related field
  2. Minimum of 2 years’ experience in analytical, research, development, or information specialist role
  3. Ability to identify, retrieve, analyze and synthesize complex data from diverse sources
  4. Ability to think strategically
  5. Knowledge and/or experience with database systems
  6. Excellent oral and written communication skills
  7. Ability to work collaboratively with colleagues, co-workers, and constituents
  8. Strong interpersonal skills
  9. Ability to stay on task within the context of the big picture goal
  10. Ability to handle sensitive and confidential matters with appropriate discretion
  11. Ability to work in a fast-paced environment

  13. Proficiency with technology including Microsoft Office products
Preferred Qualifications:
  1. 4 years’ experience in analytical, research, development, or information specialist role
  2. Experience working in a higher education or non-profit setting
  3. Experience with CRM software such as SALESFORCE/ASCEND or other similar system
Physical and Mental Demands:
Must be able to remain in a stationary position for extended periods of time. The person in this position needs to occasionally move about inside the office to access file cabinets, office machinery, etc. Constantly operates a computer and other office productivity machinery, such as computer, printer, copy machines. Must be able to interpret, organize and make decisions on data daily.
