We are currently seeking an Assistant Property Manager to join our property management team. This person will support the operations team by performing administrative and property management duties for two Class A mixed-use shopping centers in Arlington, Virginia. The ideal candidate takes pride and ownership in their work and is self-sufficient and extremely organized, with strong attention to detail, excellent relationship-building skills, and the proven ability to deliver first-class customer service in a fast-paced environment, with opportunities to grow and develop within the Property Management Team.


  • Maintain and develop tenant relations by meeting with tenants on a regular basis. Resolve tenant issues that occur and serve as the primary point of contact for all merchantsโ€™ daily operating needs including general maintenance, lease issues, trash concerns and parking management. Provide tenant sales and trends feedback to leasing and marketing team members. Respond in a timely manner to requests.
  • Assist with the supervision of the third-party vendors such as security, landscaping, cleaning, and other maintenance providers. Monitor vendors for performance and quality. Research and identify needs to determine the appropriate scope of services for the property. Assist in the bidding and negotiating contracts, monitoring progress, and approving invoices.
  • Perform property and quality control inspections with the General Manager and under self-direction. Review daily security and monthly night inspection reports. Coordinate repair of maintenance items with vendors and tenants. Communicate with tenants in person and in writing.
  • Maintain and update tenant contact lists; track required tenant maintenance items and other special lease language; and collect certificates of insurance for both tenants and vendors. Contact tenants or vendors to achieve compliance. Maintain and organize property operations files.
  • Collaborate and establish strong working relationships with key stakeholders including Marketing on the coordination of property events, Tenant Coordination to expedite completion of landlord work and delivery of spaces to tenants, and appropriate key civic and community leaders to ensure positive benefits for the property.
  • Code and research invoices; monitor purchases and expenses to ensure compliance with budget parameters; and prepare vendor maintenance forms for set up in Nexus.
  • Assist in the preparation of the annual operating budget and quarterly budget reforecast reports for the properties, and management of operating expenses, within or below budgeted levels. Work with property accountants to prepare monthly variance reports and finance team to forecast property level cash flows accurately for corporate planning and analysis.
  • Assist in the completion of accruals, reclasses, tenant reimbursable billings and aged accounts receivables and sales report collections.
  • Assist property operations team with administrative duties such as calendars, emails, meeting schedules, and logistics.
  • Assist with special events at properties.
  • Perform other tasks and special projects as assigned by the General Manager.

  • 3 to 5 yearsโ€™ experience as an Assistant Property Manager, Property Manager, or Operations Manager for a commercial real estate firm preferred
  • Experience in retail property management is preferred
  • Bachelorโ€™s degree preferred
  • Ability to solve problems and think creatively to complete assignments and resolve tenant requests with a resultsโ€™ orientated approach
  • Proven ability to proactively identify and resolve issues independently
  • Solid financial skills/aptitude, with an understanding of the budgeting process and an ability to assist in the completion of accruals, reclasses, tenant reimbursable billings and aged accounts receivables and sales report collections.
  • Strong attention to detail and demonstrated organizational skills
  • Proven ability to handle multiple tasks simultaneously and manage time efficiently
  • Approaches work with curiosity and has the desire to learn and improve the shopping centers and work processes
  • Strong verbal and written communications skills
  • Proven customer service skills, with an ability to resolve disputes or complaints
  • Demonstrated ability to be self-sufficient and work independently
  • Intermediate skills in Microsoft Outlook, Word, and Excel; ability and desire to learn new programs
  • Ability to perform essential on-site property inspections, including walking or standing for extended periods, with reasonable accommodations as needed
