North Summit Fire Service District is seeking a dependable, organized, customer-focused professional who can effectively manage multiple responsibilities while supporting the important public-safety mission of the District.North Summit Fire Service District is accepting applications for a full-time Administrative Assistant. This is a 40-hour-per-week position that works under the direction of the Fire Chief and provides essential administrative, clerical, records-management, and customer-service support to the District.Position SummaryThe Administrative Assistant performs a wide variety of routine and complex administrative functions, including maintaining official records, preparing reports and correspondence, taking meeting minutes, managing fire and EMS training records, administering fire and EMS reporting records, answering phones, greeting the public, and assisting with general information and service requests. The position also assists with scheduling fire inspections, school programs, travel arrangements, purchasing, mail processing, plan submittals, bookkeeping, and other District administrative functions.Essential ResponsibilitiesSuccessful applicants should be prepared to:Provide professional customer service to the public, District employees, and partner agencies.Answer phones, receive visitors, and respond to general questions and requests.Prepare correspondence, reports, memoranda, notices, minutes, resolutions, and other official documents.Maintain and input fire, EMS, and training records.Assist in ensuring fire and EMS reports are completed accurately and in a timely manner.Prepare EMS billing information and monthly response reports.Perform data entry, bookkeeping, cashiering, filing, copying, and general office functions.Assist with procurement of District materials and supplies.Coordinate staff travel arrangements.Schedule appointments, inspections, school programs, and other District activities.Receive, record, and route plan submittals.Perform other duties as assigned.Minimum QualificationsApplicants must:Possess a high school diploma or GED equivalent.Be at least 18 years of age.Be legally authorized to work in the United States.Possess, or be able to obtain by the time of hire, a valid Utah driver's license.Have no felony convictions or other disqualifying criminal history.Be able to read, write, and speak English.Have a minimum of two years of increasingly responsible office experience involving functions such as typing, filing, accounting, and bookkeeping, or an equivalent combination of related education and experience.Demonstrate effective computer skills, including experience with accounting, word-processing, and database programs.Be able to type at least 40 words per minute.Possess strong organizational and time-management skills.Be able to prioritize assignments, meet deadlines, work accurately, and provide a high level of customer service.ScheduleFull-Time - 40 Hours Per WeekThis position generally works in a professional office environment supporting the daily administrative operations of North Summit Fire Service District.BenefitsNorth Summit Fire Service District offers a competitive benefits package for this full-time position, including:Health insuranceDental insuranceVision insuranceLife insuranceUtah State Retirement System benefitsPaid leave and other benefits in accordance with District policiesPhysical RequirementsThe position frequently requires sitting, speaking, and hearing and occasionally requires walking, handling office equipment, and reaching.
