Litigation Legal Assistant Role

Welcome guests and clients by greeting them in person or on the telephone and answering and directing inquiries.

Prepare, edit, format, and proofread a variety of legal documents including correspondence, pleadings, and discovery.

Draft and revise correspondence and legal documents while ensuring accuracy and attention to detail.

E-file documents in Federal and State courts as required.

Transcribe dictation from voicemails and other sources accurately.

Handle incoming and outgoing mail and electronic correspondence.

Receive incoming calls, answer general questions, and direct individuals to the appropriate personnel.

Set up conference calls and assist with meeting coordination.

Open, manage, and maintain client files and ensure proper filing procedures.

Schedule appointments and maintain attorney calendars, track deadlines and case statuses.

Coordinate and schedule meetings, depositions, conference calls, and send calendar invites and reminders.

Input attorney billable time and reimbursable expenses.

Review monthly billing memos and assist with invoice preparation when needed.

Manage client expense disbursements through internal software and follow up with clients as needed.

Prepare correspondence to clients regarding monthly invoices for fees and disbursements and update internal systems accordingly.

Arrange business itineraries and make travel arrangements.

Manage timekeeper expense reimbursements.

Serve as an intermediary between attorneys, firm personnel, clients, and the courts, relaying communication as needed.

Represent attorneys by communicating and obtaining information, following up on delegated assignments, and knowing when to escalate matters.

Assist attorneys with personal business matters when requested.

Perform general office clerical work such as filing, faxing, scanning, and answering phones.

Communicate professionally and effectively with all levels of internal personnel and clients.

Strong filing, typing, and discernment is needed.


Litigation Legal Assistant Background Profile:

Minimum of two years of experience as a Legal Assistant, Legal Secretary, or Paralegal in a litigation environment

Strong communicator with excellent verbal and written communication skills

Extremely organized with strong attention to detail

Ability to prioritize tasks and manage a busy desk with multiple deadlines

Proven ability to manage multiple calendars and case schedules

Experience preparing litigation documents such as pleadings, discovery, and correspondence

Solid working knowledge of Microsoft Office (Word, Outlook, Excel, PowerPoint)

Proficiency in electronic court filing systems (Federal and State)

Typing speed of at least 80 words per minute

Excellent grammar, spelling, punctuation, and proofreading skills

Strong people skills and the ability to work harmoniously and effectively within a team environment

Proven track record of dependability, professionalism, and confidential handling of sensitive matters

Experience with NetDocs is preferred but not required

Strong customer service mindset when working with internal teams and clients

Ability to work both independently and collaboratively within a fast-paced legal environment

Dependable, professional, and able to maintain confidentiality
