POSITION SUMMARY
The Facilities Coordinator oversees the daily administrative, logistical, and operational functions of MOTB's maintenance team.
The position will manage the daily operations, maintenance, and administrative tasks of MOTB's physical workspace.
Bridging the gap between facility managers, MOTB staff and external vendors, this position reporting to the Operations Manager will manage daily work orders, track expenses, and maintain life safety and compliance documentation.
DUTIES & RESPONSIBILITIES
- Vendor Coordination: Review proposals, schedule third-party contractors for specialized repairs and manage purchase orders (POs) and invoices
- Work Order Management: Track and dispatch guest and staff maintenance requests using property management software (Emaint, Keystone, Wrike, Hotsos)
- Administrative Support: Maintain schedules for the engineering team, manage office files, and order supplies.
- Compliance & Reporting: Keep accurate records for life safety, OSHA, and health regulations. Compile monthly utility and departmental expense reports.
- Communication: Relay requests between relevant MOTB Departments and the Engineering floor team to ensure prompt guest and staff service.
- Space Management: Assist with office moves, space planning, and maintaining inventory of supplies and equipment.
- Administration: Support the facility management team with budget tracking, invoice processing, and reporting.
QUALIFICATIONS & REQUIREMENTS
Experience
- 1-2 years of administrative, secretarial, or maintenance experience, ideally within a hotel or hospitality setting.
Skills / Core Competencies
- Basic accounting skills, high proficiency in MS Office (Word, Excel), and familiarity with building management or work-order systems.
- Excellent verbal and written communication, strong multitasking capabilities, and the ability to remain calm and resolve problems quickly.
- Exceptional customer service and hospitality skills.
- Proven ability to exercise high level of discernment.
- Ability to operate and present oneself in an extremely courteous and professional manner.
- Highly organized with the ability to prioritize and meet multiple concurrent deadlines.
- Be thorough and detail oriented.
- Ability to solve problems calmly and efficiently.
- Be self-driven and can work in a team with little supervision.
- Proficient in Microsoft Office.
Abilities / Attributes
- Able to work evenings and weekends
- Be able to walk/stand for extended periods of time and lift 10lbs. (Must be able to push a fully loaded luggage cart up the ramp).
