Summary

The HR Administrative Assistant provides administrative and clerical support across the Benefits, Employee Relations, Human Resources, and Training functions. This role assists with onboarding, benefits administration, payroll support, employee relations processes, training coordination, compliance tracking, reporting, and record management while serving as a point of contact for employees and leaders. The HR Administrative Assistant helps ensure HR processes are completed accurately, on time, and in compliance with Company policies and applicable regulations through strong organization, attention to detail, and exceptional customer service.

Primary Functions

  • Provide clerical support to Benefits, Employee Relations, Human Resources, and Training departments
  • Assist with Receptionist coverage for breaks
  • Respond to questions in person, phone or email
  • Manage team calendar for important dates, birthdays, anniversaries and PTO.
  • All other duties as assigned for the successful operation of the company

Benefits

  • Assist Benefits team with Benefit Enrollments
  • Send Benefits eligibility reminders
  • Assist Benefits during Open Enrollment
  • Pull and analyze Benefit reporting data
  • Take detailed notes during Benefits Committee meetings
  • Send out COBRA letters for terminated employees

Employee Relations

  • Schedule investigation meetings, intake calls, and investigation completion calls as needed

Human Resources

  • After confirming completeness, scan in completed checklists for all processes
  • Assist with sending out new hire onboarding packets
  • Process and monitor drug tests and background checks for new hires for completion
  • Keep record of attendance for daily operations and identify trends
  • Assist with weekly payroll for permanent employees
  • Create and send out Termination letters

Training

  • Schedule new user and individual Instructor Lead Trainings and monitor attendance for each
  • Assist with Compliance training to monitor completion
  • Pull and analyze data on training completion time
  • Set up new users in Surge's Learning Management System

Qualifications

  • High school diploma or equivalent required
  • At least 1 year of previous customer service or appropriate business experience
  • Ability to work in a fast-paced environment.
  • Ability to prioritize tasks.
  • Comfortable speaking in front of groups of people
  • Ability to keep all work confidential.
  • Excellent verbal and written communication skills
  • Problem Solving and organized.
  • Ability to meet deadlines.
  • Proficient computer and telephone skills
  • Knowledge of standard office administrative practices and procedures
  • Cooperative, team oriented, calm under pressures and able to work independently.
