Job description

Admin Asst

Provide business and administrative support on the planning and coordinating of activities related to projects of the Company.

High School Diploma, GED, or equivalent.

Primary support for phone calls and routes calls as necessary. May answer routine questions or handle requests. Provide customer service to external and internal customers. Assist inspection/service department with new inspection set ups, prepare new vendor packets (if required), maintains master inspection spreadsheet, print monthly inspection report and work orders associated with interval inspections, back up to generate service and emergency work orders, process service and inspection client terminations. Report inspection results to water authority and fire department's automated systems per county or city compliance requirements. Distribute invoices through e-mail or mail to clients. Electronically archive invoices internally in accounting system and other electronic files. Assist with bank deposit and credit card payment processing. Review accounts receivable aging and takes action to address invoices that are greater than 60 days overdue. Meets with company controller monthly for status reporting. Work with appropriate personnel to secure and maintain office equipment and office supplies. Support office on varied special projects as requested. Additional duties as assigned.
