Join Our Real Estate Team as an Executive Assistant

We are looking for an exceptional Executive Assistant with a clear path to grow into an Assistant Executive role for the right candidate.

In this role, you'll be the backbone of our operations - supporting the owners, agents, and clients through every step of the home buying and selling journey. You'll manage schedules, coordinate with vendors, keep clients informed and excited, and ensure nothing falls through the cracks.

Compensation

  • Salary $55,000 - $72,000 annually, commensurate with experience
  • Total Compensation: Our profit-sharing program has historically contributed an additional $10,000 - $20,000 annually, bringing total earning potential to $65,000 - $92,000+ for the right candidate.

Compensation:

$55,000 - $90,000 yearly


Responsibilities:

Client & Event Coordination:

  • Oversee all contracts through closing, ensuring nothing falls through the cracks
  • Handle customer inquiries promptly and professionally
  • Manage all administrative coordination, logistics, marketing, partner communication, registration, and on-site execution of the Retired Living Truth Seminar Series events, workshops, and tours

Operations & Systems:

  • Manage & improve all systems for transaction coordination, internal and client communication, information management, central database management, and back-office support
  • Maintain an operations manual that documents all systems and standards
  • Coordinate the purchase and maintenance of all office equipment & supplies
  • Track and update Key Performance Indicators for Dashboards, Reports & Meetings

Calendar & Executive Support:

  • Manage owner calendars, keeping leadership informed of appointments, action items, messages, and relevant business matters - both internal and external
  • Keep the agents and managing members promptly informed of any problems or issues requiring attention

Marketing & Communications

  • Ensure all marketing campaigns are executed in a timely and systematic manner
  • Manage all systems for sellers, buyers, lead generation, move management, and related marketing initiatives

Financial Management

  • Maintain all financial systems, including bookkeeping, accounts payable/receivable, account reconciliation, payroll, commission collection, budget management, and financial reporting

Qualifications:
  • 3+ years of administrative support experience in a demanding and challenging environment with a focus on client service
  • Proven ability to work independently, self-prioritize workload, and manage multiple tasks through to completion with minimal supervision.
  • Excellent computer skills in a Windows environment
  • High level of proficiency in MS Word, Excel, and Outlook/Email, Google Workspace and Canva is required
  • Excellent grammatical, editing, and proofreading skills are required
  • Excellent organizational and prioritization skills
  • Excellent oral and written communication skills
  • Ability to make solid business decisions, problem-solve, and operate in a highly dynamic work environment
  • Proven ability to exercise a high degree of confidentiality and objectivity
  • Ability to work in a team setting and conduct and present oneself in a highly professional manner with both internal and external clients and personnel
  • Post-secondary education; an Associate's or Bachelor's Degree is preferred.
  • Real estate license preferred or willing to obtain within your first 6 months
