Job description

Responsibilities

We are looking for an experienced Executive Assistant to provide overall administrative support to the EVP of New York Development. This individual will be full-time onsite in our New York office in Hudson Yards. Responsibilities include but are not limited to:

  • Manage EVP calendar with the ability to anticipate calendar conflicts, manage last-minute changes, and work across different office locations and time zones
  • Prepare and process expense reports, liaising with Finance teams daily in a timely manner
  • Book extensive domestic and international air and ground travel, and other accommodations
  • Coordinate and plan events both in New York and throughout the US; including but not limited to lunch/dinner reservations, client networking events, etc.
  • Act as point person for new hire, technology setup and department supplies
  • Organize the office and order supplies as needed
  • Answer the phone line and track messages
  • Manage conference rooms in the office
  • Assist with presentations, i.e. slide and report creation, internal and external materials in accordance with company standards, printing and binding books
  • Assist with ad hoc and special projects as assigned

Qualifications
  • Minimum of 3+ years of strong executive level administrative experience
  • Experience working in a corporate environment is highly preferred
  • Experience dealing with highly confidential data and information
  • Must have a high level of professionalism and maturity
  • Excellent communication skills; both written and verbal
  • Strong knowledge of Microsoft Outlook; proficient in Word, Excel, PowerPoint
  • Strong multi-tasking capabilities and time management, excellent organizational skills
  • Comfortable working in a fast-paced environment, shift direction easily and prioritize
  • Keen attention to detail
  • Must be a team player
  • Bachelor’s degree required

Compensation

The anticipated base salary range for this position is listed below. In addition to a competitive base salary, you will be eligible to receive discretionary bonus incentives and a comprehensive benefits package.

Anticipated base salary range: $43.27 - $52.88 / hour

Actual base salary within the anticipated range will be determined by several components including, but not limited to, the individual's experience, skills, qualifications, and market factors.
