Job description

The Development Coordinator will be responsible for assisting the Development Managers with project processes and the Vice President of Development in the daily operations of the Development Department.
Roles and Responsibilities
  • Manage weekly department level information including agenda, minutes, scorecard/rocks, and trackers.
  • Attend bi-weekly front-end meetings to understand upcoming project needs and begin assembling information in anticipation of soft cost budget requests.
  • Attends internal, consultant, and tenant meetings. Take detailed notes, circulate summaries, follow ups, and to-dos.
  • Participate in Pre-Budget meetings to gain knowledge of upcoming projects.
  • Solicit RFPs for upcoming projects utilizing existing consultants, broker contacts, municipal resources, and internet searches. Complete preliminary Bid Tab information to provide initial insights for Development Manager review.
  • Schedule pre-application meetings with municipalities for projects once soft cost budgets have been requested. Attend meetings to aid the Development Managers.
  • Schedule preliminary and final project budget meetings to ensure timely completion by the Development Managers.
  • Attends Development Pass Off meetings in preparation for development release and upcoming project submissions.
  • Input data in the Master Data Pipeline, as appropriate, to ensure project information is up to date and accurate.
  • Coordinate meetings with clients, municipalities, engineers, architects, and other vendors.
  • Aid the Development Manager(s) with governmental submissions and reviews. This would include, but not limited to, completing applications, online submissions, picking up plans, delivering or sending plans, check requests, mailings, and other tasks related to the entitlement process, as requested.
  • Communicate with consultants and tenants to gather information for upcoming submissions.
  • Secure all travel arrangements for Development team members including flights, rental car, and hotel.
  • Assist Development and Project Managers with bond requests and/or cancellations at the completion or termination of a project.
  • At the direction of the Development Manager, submit all RFIs to tenants and other departments for projects from lease execution to construction pass off.
  • Collaborate with Process & Infrastructure Manager to maintain all development processes.
  • Maintain project documents and filing system to ensure consistency.
  • Other duties as required.
