Job description

We are seeking a highly organized, professional, and welcoming Receptionist / Front Desk Administrator to join our growing renovation team. As the first point of contact for our clients, vendors, and subcontractors, you will play a vital role in delivering an exceptional customer experience.

In addition to traditional front desk duties, a core responsibility of this position is project scheduling—coordinating calendars, trade partners, design consultations, and installation crews to keep our renovation projects running smoothly and on time.

Essential Duties & Responsibilities

Front Desk & Client Relations

  • Greet incoming clients, visitors, and vendors warmly and professionally.
  • Answer, filter, and direct incoming phone calls, emails, and online inquiries.
  • Conduct initial client intake, gathering details about project scope, budget, and timelines.
  • Maintain a clean, organized, and welcoming reception area and showroom (if applicable).

Project & Crew Scheduling

  • Manage and update master project schedules using scheduling software (e.g., Buildertrend, Jobber, CoConstruct, Google Calendar).
  • Coordinate site visits, consultations, subcontractor schedules, and client walkthroughs.
  • Communicate schedule updates or delays promptly to clients, project managers, and site supervisors.
  • Track project milestones and assist in ensuring daily logistics align with project timelines.

Administrative Support

  • Process incoming/outgoing mail, deliveries, and material receipts.
  • Assist with data entry, project documentation, client files, and invoices.
  • Prepare meeting spaces and materials for client design presentations or staff meetings.
  • Order and maintain inventory for office supplies and project client welcome kits.


  • Experience:
    • 2+ years of front desk, receptionist, or administrative assistant experience.
    • Experience in construction, renovation, trades, or field operations is strongly preferred.
    • Proven experience managing complex calendars and project scheduling.

Key Skills & Competencies

  • Scheduling Proficiency: Strong working knowledge of project management/scheduling tools and calendar software.
  • Communication: Exceptional verbal and written communication skills; comfortable interacting with clients, contractors, and field crew members.
  • Organization: Highly detailed, able to multitask in a fast-paced environment, and proactive in solving logistical challenges.
  • Tech-Savvy: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and standard office technology.
