Description

The Student Administrator is responsible for providing professional administrative and ministry support for the student ministry and its staff as well as maximizing and streamlining systems and processes within the student ministry department. This position reports directly to the Lead Student pastor.


Key Roles & Responsibilities


  • Assist Student Pastors/Directors with planning, management, and execution of student events.

  • Complete all administrative tasks required for the student department.

  • Manage the team's Monday.com boards to keep our department on task and organized.

Requirements & Skills


  • Experience with office and administrative tasks

  • Great verbal, written and relational communication skills

  • Proficient computer applications (Mac preferred)

  • Accurate typing, grammar and formatting

  • Excellent organizational, time management, and multi-tasking skills

  • Strong attention to detail to ensure accuracy

  • Able to follow and perform processes and procedures

  • Proficient in researching and finding requested information

  • Self-discipline to lead and manage yourself well (no need to micro-manage)

  • Problem-solver

  • Skills in the areas of marketing and graphic design (preferred)


Job Specific Responsibilities & Tasks


  • Manage the team's Monday.com boards to keep our department on task and organized.

  • Help student team maximize our calendars by filling calendar holes with opportunities to connect with students and contributors.

  • Manage student ministry contributor process queue and send welcome letters to new contributors

  • Copy/print materials for student ministry staff and other ministry related events

  • Oversee updates on student ministry website

  • Manage expense reports/receipts for student ministry department.

  • Keep our team on budget and up to date on budget.

  • Assist with the planning and implementation of student ministry events

  • Oversee the registration process for all student ministry events, programs, and trips

  • Manage church database by inputting new students and families.

  • Manage birthday, get well, and thank you correspondence

  • Participate in student ministry staff meetings (once a week)

  • Maintenance of confidentiality concerning church matters, especially related to counseling and pastoral care matters and budgetary matters

  • Procure supplies for student ministry weekly programs

  • Plan out Sunday night snack shack, purchase in advance, and work with contributors to manage on Sunday night.

  • Track and celebrate contributor milestones to help increase contributor longevity.

  • Cross train to learn and be able to cover other administrative tasks as asked and agreed upon.

  • Assist in the hiring process for department

  • Recruit, manage, and schedule parent contributor team for childcare, snack shack, check-in, etc.

  • Other duties as assigned.

Anticipated Time Commitments


  • 30 hours/week (including 4 hours on Sunday nights)

  • 90 day performance assessment

  • On-going annual performance assessments
