Job description

The Administrative Assistant for Lipscomb University Security is responsible for administrative functions, daily office operations, maintaining supplies,
purchasing and financial functions, maintaining records, scheduling essential functions for effective operation, and other tasks deemed necessary by the Command Staff of the Department of Security.

Typical Duties and Responsibilities:

  1. Maintain a positive and courteous demeanor at all times, and practice good front-facing customer service with the public.
  2. Assist Chief of Security, Director of Communications, Director of Support Services, and Director of Operations with essential functions as needed.
  3. Make operational purchases using credit card or check request, including but not limited to: uniforms, equipment, vehicle maintenance, outside services, etc.
  4. Scheduling maintenance and maintaining records for vehicle fleet 
  5. Maintain receipts for reconciliation through appropriate program.
  6. Maintain and distribute operational information for success of Command Staff, officers, and dispatchers.
  7. Assist Parking Coordinator in necessary administrative tasks as requested.
  8. Any other tasks as directed by shift supervisor, Director of Operations, Support Services, and/or Communications, and the Executive Director.

Competencies/Expected Outcomes: 

Works independently and is self-sufficient. Works frequently with others in a cooperative, collaborative manner. Works routinely, requires teamwork and cooperation with numerous individuals and groups. Practices discretion and confidentiality with student information. Able to adapt easily and have a high level of organization.

Budgetary Responsibility

Department credit card, reconciliation of department receipts, working with Chief of Security to remain within budgetary confines.

Education: 

  • High School graduate minimum, bachelor’s degree preferred

Experience:

  • 2+ years of administration experience preferred
