Executive Assistant & Accounts Specialist

Location: Eden Prairie, Minnesota

Position Overview

Agri Sciences Biologicals USA is seeking a highly organized, detail-oriented professional to serve as a hybrid Executive Assistant & Accounts Specialist. This role combines ownership of daily accounting administration including accounts receivable and accounts payable with executive support and general business administration responsibilities.

The ideal candidate is someone who thrives in a fast-paced entrepreneurial environment, can manage financial details with accuracy, and is willing to step in wherever needed during slower accounting periods. This is a key operational role that helps keep the business running efficiently across finance, administration, and day-to-day coordination.

This position is ideal for someone who enjoys variety in their workday, takes pride in organization and follow-through, and wants to grow with a rapidly expanding agricultural company.

Key ResponsibilitiesAccounts Receivable (AR)
  • Generate and distribute customer invoices
  • Monitor customer balances and aging reports
  • Follow up on outstanding invoices and past-due accounts
  • Process incoming payments, ACHs, checks, and wire transfers
  • Reconcile customer accounts and resolve discrepancies
  • Coordinate with sales staff and customers regarding billing questions
  • Maintain accurate customer records and credit information
Accounts Payable (AP)
  • Enter and process vendor bills and purchase invoices
  • Schedule and process vendor payments
  • Reconcile vendor statements and resolve payment discrepancies
  • Maintain organized records of invoices, purchase orders, and payment documentation
  • Assist with inventory and freight-related invoice tracking
  • Coordinate with vendors and suppliers regarding payment status
Executive & Administrative Support
  • Assist executive leadership with scheduling, travel coordination, and meeting organization
  • Help prepare presentations, reports, spreadsheets, and internal documents
  • Support office operations including supplies, filing, and general administration
  • Assist with onboarding paperwork and employee administrative tasks
  • Coordinate shipping/logistics documentation and order tracking
  • Help maintain CRM, inventory, or operational systems as needed
  • Serve as a communication point between departments, vendors, customers, and leadership
  • Assist with special projects during slower accounting periods
Qualifications
  • 2+ years of experience in accounting administration, bookkeeping, executive assistance, or office management
  • Strong organizational skills and attention to detail
  • Comfortable working with financial information confidentially and accurately
  • Excellent communication and follow-up skills
  • Ability to prioritize tasks and manage multiple responsibilities
  • Self-motivated and adaptable in a growing business environment
  • Proficiency in Microsoft Excel, Outlook, Word, and accounting software
  • Experience with QuickBooks Online preferred
  • Experience in agriculture, manufacturing, distribution, or logistics is a plus
