Job description

Asset Coordinator

Responsibilities:

  • Coordinate procurement of all IT equipment (printers, fax machines, scanners, workstations, servers, switches, access points, firewalls) and IT-related dental equipment (sensors, dental scanners)
  • Routine inventory of IT and IT-related dental equipment as well as IT-related licenses and warranties; investigate and report on discrepancies identified within these inventories
  • Coordinate delivery, return and transfer of IT equipment and IT-related dental equipment between company HQ, dental offices, and vendors
  • Receive and inventory IT and IT-related dental equipment that is delivered to the company HQ; for equipment cleared for disposal, coordinate applicable vendor disposal actions
  • Assist in the improvement and operation of the company IT Asset Lifecycle Management program, including the update and audit of asset records within the applicable tools/platforms
  • Maintain and routinely audit the IT Vendor tracker, updating points of contact, notifying of upcoming renewals and recording new/renewed contracts in applicable tools/platforms
  • Conduct a weekly audit of recently offboarded employees and perform license reconciliations
  • Assist in the audit of IT invoices, supporting IT leadership in the identification of possible cost-savings initiatives
  • Assist in the processes of IT invoices and support resolution of IT-related billing inquiries
  • Investigate and make recommendations for the improvement of IT asset and vendor management processes
  • Routinely audit and update internal IT contact list/directory and organization chart
  • Assist in the review and analysis of IT asset- and vendor-related data and reporting
  • Perform other related duties as assigned

Experience:

  • Experience working in a project coordination or support related role
  • Self-motivated and direct – independent worker; can effectively prioritize and multi-task
  • Extremely strong organizational and multitasking skills
  • Excellent writing skills for creating standard operating procedure documents
  • Basic understanding of the IT Asset Lifecycle principles and best practices
  • Ability to provide vision, constructive feedback, and prioritization to peers and supervisors
  • Must be able to lift up to 30lbs
  • Prior experience with IT and healthcare is a plus
